💾 Control buttons in the document form and item form
At the bottom of both the document form and the item form, there are three basic control buttons that determine how you proceed with the record you are working on:
Save and new
Save and close
Cancel
Each of these buttons behaves differently and should be used according to the specific situation.
➕ The Save and new button
Use the Save and new button when you want to:
enter another document, or
add another item to the same document.
When you click this button:
the currently filled-in record is saved, and at the same time
a new form opens automatically for entering the next document or item.
This workflow significantly speeds up entering a large number of documents or items in succession.
📄 The Save and close button
Using the Save and close button:
the completed record is saved,
the form is closed, and
the tabular overview of documents or items is displayed, where the new record is already visible.
Use this button when you have finished entering a document or item and do not want to continue adding further records.
❌ The Cancel button
The Cancel button is used to close an open form without directly saving it. Its behavior depends on the state of the form and whether any changes have been made.
🔹 Situation with no changes made
If:
no data has been entered,
and no edits have been made in the open form,
then:
the form is simply closed,
the document number used remains free and can be used again.
🔹 Situation where changes have been made
If any data has been entered or edited in the form, the application will ask whether you want to save the changes made.
✅ Choosing Yes
the record is saved,
the form is closed,
the document or item appears in the tabular overview with the entered data.
This option has the same effect as using the Save and close button.
❌ Choosing No – in the item form
the item form is closed,
the entered values are not saved.
❌ Choosing No – in the document form
The application's behavior varies depending on whether any items were being entered for the document:
If no item was being entered:
the form closes without saving,
the document number used can be used again.
If an item was being entered and you:
cancelled it without saving, or
deleted it (the document currently contains no items),
the application will ask whether you want to delete the newly created document.
Yes – the document is deleted and the document number is immediately available for a new record.
No – the document is saved with a zero amount.
If you are cancelling a document that already has a saved item:
the form closes,
the document remains saved along with that item.
If you no longer need the document, you can:
delete it manually, or
reopen it later and overwrite its values.
↩️ Choosing Cancel
the confirmation dialog is dismissed,
the form remains open and you can continue working.
❓ Frequently asked questions (FAQ)
When should I use "Save and new" instead of "Save and close"?
Use the Save and new button when you want to immediately continue entering another document or item after saving. If you are finished working, Save and close is the better choice.
Can I lose a document number?
Yes — if you close the form without saving after data has already been entered, the application may either release the document number or save the document with a zero amount, depending on the specific situation and your choice in the confirmation dialog.
