Business Partners – Event/Activity Types

On this form, you create event and activity types, which are then selected from the menu

Business Partners – Events, Activities on the Main tab in the Activity Type field. These include, for example, meetings, business information, and reminders.

Abbreviation

An abbreviation for the event type of up to 20 characters; it should uniquely identify the given event.

Name

The full name of the event type.

Event Kind

From the drop-down list, select one of the following options: Note, Event, Task, Workflow Task.

Responsible Employee

Select the person responsible for the given event type; the persons available are those registered in the Tools – Company Users menu.

Labels

You can attach various labels to a specific event; clicking the Attach button will display a table for selecting labels; from the left-hand Available Labels table, use the arrow to move the labels you want to assign to the given record into the right-hand Selected Labels table, then confirm your selection with the OK button; if you need to add a label that is not yet in the left-hand Available Labels table, use the Manage Labels button; this will open the labels codebook (menu Tools – Codebooks – Labels), where you can add the required label.

Tab "Administration"

The "Administration" tab contains information about the time validity and visibility of the given record in the codebook (list). The validity of a record is specified by a range of calendar years. Within the specified range of years the record is valid; outside that range it is not valid and will not appear in the codebook at all. By limiting the validity period, you ensure that users are not slowed down by scrolling through obsolete records during routine use of the codebook.

Because the time validity is tied to calendar years, it does not correspond to fiscal accounting periods.

Valid From

The calendar year in which the record's validity begins.

Valid To

The calendar year in which the record's validity ends.

If you require unlimited validity for the record, do not change the default value "0" in the Valid From field and the value "9999" in the Valid To field. The record will then be usable in all calendar years and will appear in the list for every calendar year.

If you enter "2016" in both the Valid From and Valid To fields, the record can only be used in the year 2016, meaning it will only be visible in the list during that year (see accounting period in the sidebar navigation header).
