Items – Price List Groups
Price list groups are used to categorize your customers based on the defined method of applying discounts to standard selling prices. They are available in the Items – Price List menu – Price Levels tab – Add/Remove button – New button – Price List Groups tab.
Notice!
"Price List Groups" is a feature that is part of a service that extends the price list. It can only be used in the Business and Premium editions.
You can assign your customers to price list groups, thereby dividing them into groups based on the defined method of determining selling prices.
You can open the list in the "Items" module under the "Price List Groups" option.
The top toolbar contains a number of buttons whose functions are described in the separate chapter "Program Controls".
Main Panel
Pressing the button or the keyboard shortcut Alt+N opens the form for a new record.
The top toolbar of the form contains a number of buttons whose functions are described in the separate chapter "Program Controls".
Abbreviation
Required field, may contain up to 20 characters. The value must be unique among records.
The abbreviation (also referred to as a code) is a shortened representation of the group. We recommend choosing an abbreviation that reflects the characteristic of the group, so you can immediately understand what the group represents.
Name
Required field, may contain up to 255 characters.
The name generally represents the record in overviews, print reports, and selection lists, so it should identify the record in a unique way. If you configured foreign languages during the initial setup, pressing the "+" button allows you to fill in the "Name" field in the selected foreign languages. These language variants of the name are printed on documents when printing in a foreign language. Press the "-" button to close the foreign-language name fields.
"Texts" Tab
The "Texts" tab is included in all code lists and directories. It contains two fields, neither of which is required.
Description - You can enter a more detailed description.
Note - An additional note for the price list group.
"Administration" Tab
The "Administration" tab contains information about the time validity and visibility of the given record in the code list (directory). The validity of a record is specified as a range of calendar years. Within the specified range of years, the record is valid; outside this range, the record is not valid and will not be displayed in the code list at all. By limiting the validity period, you ensure that users are not slowed down by scrolling through obsolete records during routine use of the code list.
Because the time validity is based on calendar years, it does not correspond to fiscal accounting periods.
Valid from - The calendar year from which the record becomes valid.
Valid to - The calendar year in which the record's validity ends.
If you require unlimited validity for a record, do not change the default value of "0" in the Valid from field and "9999" in the Valid to field. The record will then be usable in all calendar years and will appear in the list for every calendar year.
If you set both the Valid from and Valid to fields to "2016", the record will only be usable in 2016, meaning it will only be visible in the list during that year (see accounting period in the side navigation header).
"Price Levels" Tab
The tab is filled in using the button. A dialog for selecting a price level will appear.
Using the checkbox, you select the desired price level for the given price list group. You transfer it to the price list group using the button. The selling price calculation method defined here will apply to all customers assigned to the given price list group — i.e., those who have the price list group specified in their address book under the "Details" tab.
Abbreviation - The abbreviation of the name of the given price level.
Name - The name of the given price level.
Price level is temporary - Used for entering discounts for a specific period, e.g., seasonal prices. Checking this option enables two fields, Valid from date: and Valid to date:, where you specify the start and end dates of this level.
Valid from date - The date from which the temporary discount is valid; the field becomes available when the price level is temporary flag is checked.
Valid to date - The date until which the temporary discount is valid; the field becomes available when the price level is temporary flag is checked.
Cost Center - Cost centers registered in the Tools – Code Lists – Cost Centers menu are available here; no document can be posted without them.
"Price Calculation" Tab
Price Rounding
This section is used to round the selling price for the given price level. The selling price for the given price level is rounded based on the price type defined on the item card and the rounding setting specified here. The standard selling price can be rounded up to the nearest ten; however, the selling price for selected customer and item groups cannot be rounded.
Method - Select from the options: up, down, mathematical.
Precision - Choose from the options: no rounding, or round to thousandths, hundredths, tenths, units, tens, hundreds, thousands.
Selling Price Calculation Method (SP)
For selected customer groups and item groups, separate selling prices can be defined that may differ entirely from the standard selling prices.
They can be derived from the current selling prices by applying trade discounts (rebates). This option is intended primarily for wholesale-dealer relationships where the supplier sets the selling price and a purchase price for the dealer is negotiated. Since the only reference price is the selling price, the selling price must be used as the base (100%) for calculating the dealer's purchase price. The percentage value of the rebate indicates how much lower the dealer's purchase price will be compared to the standard selling price.
Formula = SP-(SP/100*%discount)
Example: you offer a dealer a product that you sell for 100 CZK at a price of 50 CZK. You are therefore giving them a 50% discount.
A user who works with rebates based on purchase prices has the option to calculate the selling price by adding a rebate to the purchase price. This is a different perspective on the same price structure.
Formula = PP/(100-%rebate)*100
Another option is a calculation in which the base price becomes the purchase price with a margin (trade markup) added. The margin is set internally by the seller, who calculates their selling prices based on purchase prices. The percentage value of the margin indicates by how many percent the selling price will exceed the purchase price. It can also have negative values (selling at a loss), up to a maximum of -100%.
Formula = PP*(%margin+100)/100
Example: you purchase a product for 50 CZK and sell it for 100 CZK, i.e., with a profit equal to your purchase price — the margin is therefore 100%.
Base price – used for calculating the basic selling price for the selected item group and customer group; choose from the following options:
purchase price – the calculation method is based on the purchase price excluding VAT; as the Calculation method you can then choose from margin and rebate,
selling price – not automatically calculated for items assigned to this group, but set individually for each item directly; this method is used for services, fees, etc.
Calculation method - If the Base price field is set to Purchase price, this field offers 2 options: margin or rebate; if the Base price field is set to Selling price, this field offers the value discount,
% Specifies the percentage depending on the calculation method, e.g., the percentage of margin, rebate, or discount.
"Selected Groups" Tab
