Person groups are used to simplify the process of filling in document types and posting entries for individual groups of employees. They are also the only way to post items such as health insurance to different analytical accounts than those preset in Flexi.
The Person Groups form can be found in the Employees - Person Groups menu. You can then create a new group by clicking the New button.
In a person group, you can fill in all the details that employees in that group have in common. This example relates to using different analytical accounts for health insurance posting depending on which health insurance provider the employee belongs to. To do this, go to the Health Insurance tab and select the posting template you created via the Accounting - Posting Templates - Other Liabilities menu, or you can create a new one directly from the Person Groups menu by clicking the magnifying glass button, which opens the same form. From there, click New (or copy an existing template) to create a posting template with analytical accounts:
The analytical accounts also need to be created in the chart of accounts, or via the magnifying glass button, where you can again click New or Copy to create a new account:
Select the account by clicking Save and Close, and finally save the entire Person Group using the same button.
Once the person groups have been created, all that remains is to assign individual employees to the appropriate groups. This can be done in the Employees - HR menu, where you open each employee's record and select the relevant group in the Person Group field:
