Where to Find the Vacation Usage Overview for All Employees

In this article, we will show you how to monitor vacation usage for individual months.

Vacation usage overview in print outputs

If you need to find out how much vacation individual employees are entitled to, how much they have taken, how much they have remaining, etc., the Vacation Usage Overview print report is the tool for you.

You can find this output in the menu under Employees - Print Outputs - Payroll Outputs - Vacation Usage Overview.

A table will appear listing all periods, all employees, and all employment contracts in the system. You can narrow down this output as needed using the dropdown selectors:

Since all employment types are displayed here, including workers on agreement-based contracts, it is advisable to use the filter icon to limit the selection to Employment Type equals Standard Employment Contract, not equals Agreement to Complete a Job, etc. Alternatively, if you have separate person groups set up for agreement-based contracts and for standard employment contracts, you can filter by person group using the dropdown list.

Using the yellow printer icon, you can then display or print the overview as a PDF file:

The output displayed will look slightly different from the table shown above:

Vacation overview in payroll update

The second way to view the vacation usage overview is via the print output in the menu under Employees - Payroll Update. Here you can again use the "yellow printer" icon to display the "Vacation" output:

This output will show only those employees who took vacation during the selected period in the payroll update:

Unlike the Vacation Usage Overview in the print outputs, this report does not show when an employee started working for you, their total vacation entitlement, or how much vacation they have remaining. However, it is very useful when you simply need to find out who took vacation and when during the specified period.
