Notifications - WUI

Notifications are used to improve app behavior.

Notifications are "beta" features that bring exciting new capabilities to the Flexi web application, such as alerts about errors in documents, unmatched bank transactions, unsent reminders, and more. These features are currently in beta, meaning they may continue to evolve in the future. However, there is no reason to hesitate — start using them now to make it easier to identify and resolve data issues.

Activation

Notifications are available in all Flexi license editions. Like other parts of the application, Notifications have specific permissions that the user running the tasks must hold. A user with lower permissions or a lower-tier license will not see notifications that require higher permissions or a higher license. Activation is done in the Flexi web application via the right-hand item menu: Settings > MY SETTINGS > Notifications.

Individual features are enabled using the toggle button on the right, or they can be run immediately using the "lightning bolt" icon.

List of Notifications

Individual Notifications are broadly divided into Alerts and Automated Checks. Most features take the form of user notifications — once a feature is enabled, the Notifications section will display a list of documents/accounts that the service has identified as requiring attention. The screenshot below shows the current list of Notifications/alerts:

TIP: Notifications are continuously being developed and the list of features expands over time.

Usage

Below we describe the behavior of each individual feature. As mentioned, the Notifications module is divided into alerts and automated checks — they notify the user of a list of data errors in the "Notifications" section. Checks verify document settings with regard to correct posting.

Alerts

Background Processes

This first toggle, Background Processes, enables the automatic execution of all activated tasks beneath it. It ensures that tasks run in the background (= without slowing down the application), gather data, and display their results in the Notifications section with a "bell" icon.

Unposted Documents

This task finds all documents that should have been posted.

Received Invoices with the Same Variable Symbol

This task lists all received invoices that share the same variable symbol in the notifications.

Received Invoices with the Same Incoming Number

This task lists all received invoices that share the same incoming number in the notifications.

Cancelled Document Payments

This task finds all documents that were previously paid but are no longer marked as paid (the payment has been unmatched).

Suspicious Account Numbers

This task finds documents that contain a bank account number that does not match the bank account number recorded for the company in the Address Book.

Unmatched Bank Transactions

This task finds all bank transactions that were previously matched but are no longer matched (the payment has been unmatched).

Changed Bank Details

This task generates notifications about companies whose bank details have changed. The notification will prompt you to review the change, and you can also view more details about which records are being updated.

Sending Reminders

This task lists invoices that are past due and for which reminders can be sent.

Automated Checks

If we run the checks immediately (lightning bolt icon), the document check is triggered instantly for the last 30 days. If we activate the checks to run in the background, the checks run every day and again review documents from the last 30 days.

Checks also offer their own dedicated register /kontroly, where you can define a custom date range for searching documents for individual checks — for example, if you want to review an entire accounting period, specifying a from–to issue date range, etc. You can access the /kontroly register directly from the Agenda List, from the notification of a specific check, or by searching for "Checks" in the top search bar.

Note: If you feel a useful check is missing, please contact us and we will consider implementing it.

Accounting Journal

In the accounting journal section, you can enable a check to verify that all documents have been correctly posted.

Issued Documents

In the issued documents section, you can enable checks related to Reverse Charge settings, OSS, and more. Here is a list of checks with their descriptions:

Received Documents

In the received documents section, you can enable checks related to Reverse Charge settings, purchases outside the EU, VAT line configuration for documents above/below CZK 10,000, and more. Here is a list of checks with their descriptions:

Notifications Register

Opening this register provides an overview of all evaluated actions that have been run.

Directly from the notification window, you can access the lists of documents shown in blue, which include duplicates, missing postings, and similar issues. Once all discrepancies have been resolved, you can mark the notification as read using the green checkmark in the top right. Read notifications remain in the list and can be revisited at any time.

Each notification also has its own menu with a "heart" button and a "more" button.

Selecting "Disable this notification" will deactivate the notification in the Experiments register, and this notification will no longer be sent in the future.

TIP: Each notification also has a "heart" icon. Let us know whether you like or dislike this particular feature.
