Chart of Accounts – Next Part of the Excel Import Tutorial

In this chapter, we will look at a specific example of importing from Excel into the chart of accounts. For general principles of Excel imports, we recommend reading the first chapter - Introduction. Excel imports are available from the Business plan and above.

The Excel import for the chart of accounts can be found at Tools -> Import -> Import from Excel.

Recommendation: It is advisable to first export an existing synthetic account (from Accounting -> Chart of Accounts) and use it as a template for importing subsequent accounts.

We will be importing the following file: uctovyRozvrh_vzor.xlsx

Notice #1: Records can only be imported under a profit/loss, balance sheet, or closing account if the accounts are included in the standard chart of accounts. Only off-balance sheet or intra-company accounts can be added to the standard chart of accounts.

Since the Excel file contains column headers, check the option "Ignore first row (column names)" when selecting columns.

Notice #2: The order of the columns selected for import must exactly match the order of the columns in the Excel file.

Account - The number of the given account; enter the full number (e.g. 504002).

Name - The name of the account being imported. Text string.

Account type - The type of the given account.
Possible values:

  • typUctu.rozvahovy

  • typUctu.vysledkovy

  • typUctu.podrozvahovy

  • typUctu.zaverkovy

  • typUctu.vnitropodnikovy

Tax account - Is this a tax account? Yes/No.
Boolean value (Yes = 1; No = 0).

Balance - Does the account belong to the balance? Yes/No.
Boolean value (Yes = 1; No = 0).

Description - A description of the given account. Text string.

Note - A note for the given account. Text string.

Currency - The currency of the account being imported.

Valid from - The period in which the account became effective. Enter the code of the period (e.g. 2015).

Valid to - The period in which the account's validity ended. Enter the code of the period (e.g. 2018).

After clicking the "Ok" button in the column selection dialog, a window will appear showing the data types and properties of the columns. Among other things, the required special values for each column can be looked up here.

After confirming the properties of the imported columns, a window will appear showing a summary of how many newly created or updated records will be added to the relevant registers.

If the import does not complete successfully and the Excel file needs to be corrected, a window should appear listing the specific errors, or optionally providing the option to send an error report to Flexi support.

If the import completes successfully, the newly imported records will appear in the chart of accounts (Accounting -> Chart of Accounts).
