How to Import Stock Cards from Excel – Next Part of the Tutorial

In this chapter, we will walk through a specific example of importing inventory cards from Excel. For general principles of Excel imports, we recommend reading the first chapter - Introduction. Excel imports are available from the Business plan and above.

Inventory card imports, along with other imports, can be found at Tools -> Import -> Import from Excel.

Recommendation: If you already have existing inventory cards in Flexi, you can export them (Inventory -> Inventory Cards) and use them as a template for importing new ones.

We can now proceed to importing specific inventory cards from Excel.
We will be importing the following file: sklKart_vzor.xlsx

Note #1: Inventory cards can only be imported if the specified price list code references an already existing record.

Since the Excel file contains column headers, check the "Ignore first row (column names)" option when selecting columns.

Note #2: The order of columns selected for import must exactly match the order of columns in the Excel file.

Warehouse - The code/abbreviation of the given warehouse. Found in the Inventory -> Warehouse List register. Required field.

Price List - The code/abbreviation from the price list. Found in the Inventory -> Price List register. Required field (an inventory card always references a price list item).

Accounting Period - The code/abbreviation of the accounting period (the code is typically the year itself, e.g. 2017, 2018, ..). Found in the Company -> Change or Add Accounting Period -> Manage Accounting Periods register. Required field.

Stock Quantity (UOM) - The stock level of the given item in the applicable unit of measure. Enter numbers only (the unit of measure is assigned based on the price list item settings).

Stock Value [CZK] - The stock value of the given item in Czech crowns (CZK per UOM × Qty).

Available Quantity - The available quantity on the given inventory card. Particularly useful if you use issue requests.

Available Quantity = Stock Quantity (UOM) - Requested Quantity (UOM).

Min. Stock (UOM) - The minimum number of units of measure for the given item in the warehouse. In issued purchase orders, this information can then be used to reorder items up to the defined minimum stock level.

Last Price [CZK] - The price per the last received unit of measure of the given item. Does not need to be entered manually (it is filled in automatically based on the provided information).

Description - A description of the given item. Text string (max. 255 characters).

Location - The room or location where the given item is stored in the warehouse.
References the Inventory -> Warehouse Locations register. Enter the location code.

After clicking the "Ok" button in the column selection dialog, a window displaying data types and column properties will appear. Among other things, this window allows you to look up the required special values for each column.

After confirming the properties of the imported columns, a window will appear showing a summary of how many newly created or updated records will be added to the respective registers.

If the import does not complete successfully and the Excel file needs to be corrected, a window listing the specific errors should appear, along with an option to send an error report to Flexi support.

If the import completes successfully, the newly created records will appear in the inventory card register.
