You can create a credit note easily in the issued invoices module by clicking the More options (...) button and then selecting "Create credit note".
If you have previously created a credit note/corrective tax document, simply select the document type for the credit note. If you have not yet created this document type, select Add new.
In the document type settings, you can pre-configure details that are always the same on a credit note. It is important to select Type: Credit Note/Corrective Tax Document. This setting ensures that when a credit note is created, the Quantity sign is automatically reversed to negative, making it possible to offset it against an invoice, include it in a payment order, or match it with a bank transaction or cash register entry.
Next, select the due date for the credit note and click the Create credit note button.
In the following screenshot, you can see that a credit note for -2,000 CZK has been created against the original invoice. If you want to refund the customer, you can include the credit note in a payment order via Payment Order.
Here, click the New button in the top right corner:
You will now need to enter the payment order details:
Select the bank account from which you want to make the payment. Please note that this account must also be specified on the credit note; otherwise, it will not be offered for payment.
You can also enter the payment amounts manually in the individual fields, but it is faster to use the Select documents for payment button:
Here you can see the credit note you created. Check the checkbox on the left to select it, then click the Select button.
After selecting all documents for payment, click the More options (...) button and then Download or send online.
All that remains is to specify the due date (whether it should be taken from the due date on the payment order or from the due dates of the invoices being paid), and if you have not defined a format in the Bank Accounts List menu, select it here. If you are unsure which format is supported by your bank, check the list of supported bank formats or contact your bank.
If you want to offset the credit note against the original invoice, you need to use Money – Mutual Offsets. This is primarily used when the customer has not yet paid the invoice and you simply need to offset the invoice against the credit note. Mutual offsets are not yet available in the web interface (as of September 2021), so this must be done in the desktop application.
