We develop ABRA Flexi to make it as easy as possible for accounting firms and their clients to work with. That's why we offer a special plan for accounting firms, designed to help you navigate the system more easily and keep track of the list of companies you manage. This way, everything is clearly and conveniently available in one place.
You can find more details about the pricing and all the benefits of this plan here. The complete licensing terms for this discounted plan can be found in our current License Terms.
All management under this plan is available only through the Flexi web interface. Let's take a look together at how you can easily manage your companies in the web application.
Company Management
Company Management serves as an overview of all companies set up under your license. You can find it via "Settings" under the gear icon in the bottom left corner. Companies are divided into 3 groups: companies under the accounting firm, companies assigned to individual clients, and archived companies.
Companies must first be created using the "Create New Company" button, where you fill in all the information about your company, such as Company ID, VAT ID, Organization Type, legislation, etc. Then, save the company using the "Create" button. Alternatively, you can create a company from a backup.
In Company Management, you can also use the More Actions button to perform the following:
· Back up a company
· Move a company between the accounting firm and clients (sublicenses)
· Delete a company
· Archive (disconnect) a company, or reactivate archived companies
You can move companies from the accounting firm to a client, or vice versa.
Client
Before we move on to the "Clients" tab, we need to explain what a client actually means here. A client represents a kind of sublicense that is subordinate to your accounting firm's license. You always create one, whether your client needs write access to Flexi and therefore requires a user to be created, or not.
Under a client license in Flexi, you can have one or more companies assigned, and various users assigned to them. All users within a client license share the same Flexi plan that you assign them (Basic, Business, or Premium). An accounting firm user automatically has access to the selected companies across all clients in the Premium plan.
The companies and users of each client operate in a separate, isolated environment. This ensures that a user does not have access to another client's companies or data, even if your license administrator attempts to grant them access.
If a user is assigned to a client (sublicense), they cannot be assigned to a company outside that client. In other words, access to all companies across all clients is only possible with the Accounting Firm access type.
You can create a client in the License and Subscription section, on the "Clients" tab, using the "Add New Client" button. Choose the plan that all companies under the client will use, then fill in the name, Company ID, and contact email. These 4 details are required to create a client, i.e., a sublicense. If one company within a client's group needs the Premium plan, but the others can use the lower Basic or Business plan, the client must always be set to the highest plan.
Once we have created a client, we can create a new company for them in the Company Management section, or move an already existing company.
Here, you can easily create, move, delete, back up, or archive companies under individual clients or your accounting firm.
Archived Companies
If you no longer need to keep one of your companies active, you can archive it. An archived company is removed from the list of active companies, but its data remains intact. Typically, these are companies that are no longer in use, are temporarily inactive, or are test or template companies. A company can be reactivated at any time.
Web Interface
Here, you can archive or delete companies, and unlike in the desktop application, also in bulk. You can access this via "Settings" in the bottom left corner, then the "Company Management" tab.
Desktop Application
Here, you can archive (disconnect) or delete a company directly in the company selection screen after logging in.
Archived companies are not subject to the 95 CZK fee per active company.
User Management
You can create and find all users in the "User Overview" section, which, like Company Management, is available via "Settings". From here, you can (among other things) move users between clients or your accounting firm's license. You can find a detailed guide for creating users here.
If you need to change a client's details, you can edit them in the "License and Subscription" section.
License and Subscription
For your accounting firm, the "License and Subscription" tab is also useful, and, like the previous tabs, can be found under "Settings".
In this section, you'll find an overall license overview, clients, payments and invoicing, database usage, and API usage. For this plan, an increased limit of 50,000 API requests per day is included at no extra cost. In addition, in the Clients tab, you can see the number of individual clients broken down by plan, the client's name, the number of accesses, the number of free accesses, the number of companies, and the total number of billed accesses for each client. You can find more details about this section in our article here.
