Import from Excel - Goods Receipt/Issue Items

Twelfth part of the Excel import tutorial - Goods receipt/issue items

Written by Petr Pech

In this chapter, we will walk through a specific example of importing from Excel into the stock receipt/issue line items record. For general principles of Excel imports, we recommend reading the first chapter — Introduction. Excel imports are available from the Business plan and above.

If your license includes imports of stock receipts/issues, they will be available in the Tools module (Tools -> Import -> Import from Excel -> Stock receipt/issue line items).

Importing a document header and its line items must always be done in two steps — first the header, then the line items. Instructions for importing the stock receipt/issue header can be found here.

The stock receipt/issue header contains information such as the document type, movement type, company, accounting settings, etc., while the stock receipt/issue line items contain the specific price list entries with warehouse, quantity, price, and so on.

For testing purposes, we will import the following file: polozky_prijemky/vydejky.xlsx

Your individual import may contain different columns depending on which data you need to include in your stock documents. For the purposes of this tutorial, however, we will use a general sample file.

We will be importing the following columns:

The order of the selected columns for import must exactly match the order of those columns in the Excel file being imported.

Receipt/Issue - the code/abbreviation of the stock receipt/issue to which the line items should be assigned during import

Price List Code - the code/abbreviation of the price list item

Warehouse - the code/abbreviation of the warehouse

Quantity - the quantity of the item's unit of measure

Unit Price - the purchase price; for stock issues, this is filled in automatically based on the applicable inventory valuation method and can therefore only be entered manually for stock receipts

Once you have selected the columns you wish to import, you can confirm your selection by clicking OK. Clicking it will open another window showing a confirmation of the selected columns and their expected data types.

If everything looks correct, click OK again to confirm and then select the appropriate file.

If the Excel file is valid and eligible for import, the window shown above will appear, displaying the number of records that will be imported — either as new entries or as updates to existing ones.

Click Yes to complete the import.
