Exchange Rates
General information about code lists can be found in the Basic Settings chapter, section Code Lists.
This section displays a list of exchange rates for currencies that have been used or may be used. Users can fill it in manually according to their needs. If you select an exchange rate update method in the initial setup and then configure the download method for the relevant currency, the exchange rate will be automatically downloaded each time ABRA Flexi is launched and saved to this list.
Exchange rates are used in documents created in a foreign currency, in the "Currency -> Exchange Rate" field. When creating a document in a foreign currency, the application searches the exchange rate list and, if it finds a rate valid for the given currency and the specified posting date, it applies that value to the document.
You can open the list from the "Tools" menu under "Code Lists -> Exchange Rates". A similar view is available in the "Currency" code list on the Exchange Rates tab.
The toolbar at the top of the table contains a number of buttons whose functions are described in the dedicated chapter "Program Controls".
Main Panel
Clicking the button opens a form for adding a new exchange rate.
The toolbar at the top of the form contains a number of buttons whose functions are described in the dedicated chapter "Program Controls".
Currency: Use the drop-down menu to select the currency for which you want to set an exchange rate.
Date for which you are setting the exchange rate. Enter it using the button on the right or type it manually. The current date is suggested by default.
Exchange Rate: The valid exchange rate for the date specified above. If your accounting is maintained in, for example, Czech currency, the label "CZK" will appear next to this field.
Amount: This is the value taken from the exchange rate list. In most cases it is set to 1, meaning the rate is defined per one foreign currency unit. The abbreviation of the selected currency is also displayed next to the field, so you can immediately see, for example, that 25.00 CZK = 1 Euro.
Warning!!!
When a record is saved here in the "Exchange Rates" code list, a corresponding record is simultaneously saved to the "Currencies" code list on the "Exchange Rates" tab of the relevant currency, based on the value entered in the "Currency" field.
Exchange Rate Update Method
The exchange rate update method can be configured in the company settings on the "Other" tab, where you can choose one of the available options that will apply to the entire accounting period.
Daily rate: This rate is automatically downloaded from the internet the first time it is used on a document. If you select this option, the "Exchange rate download method:" field on the currency card (Tools – Code Lists – Currencies) will automatically be pre-filled with "Daily". If you wish to change the download frequency for a specific currency, select the desired value from the drop-down list.
The following options are available:
Daily Rate
Downloaded separately for each day.
The rate used is based on the document issue date:
Current day
Rate for the given day
Published by the CNB (Czech National Bank) at around 3:00 PM (note that before 3:00 PM, the previous day's rate will be used, as the current rate has not yet been published)
Previous day
Rate for the business day preceding the current day.
Recommended setting, given the publication time.
If the rate for the requested date has not been published, the nearest available rate will be used instead.
Warning: Once you download a rate from the internet, ABRA Flexi "locks" it and will not allow another rate to be downloaded on the same day. A new rate can only be downloaded the following day.
Monthly Rate
Downloaded as one rate per month (as of the 1st day of the month).
Settings:
Calendar day – the rate as of the 1st day of the month is used.
Business day – the rate as of the first business day after the 1st of the month is used.
If the rate for the requested date has not been published, the nearest available rate will be used instead.
Annual Rate
Downloaded as a single rate per year (as of January 1st).
Settings:
Calendar day – the rate as of January 1st is used (even if it falls on a weekend).
Business day – the rate as of the nearest business day after January 1st is used.
If the rate for the requested date has not been published, the nearest available rate will be used instead.
