In this chapter, we will walk through a specific example of importing from Excel into the Issued Quotation Line Items register. Issued quotations are generally used as offers directed to your customers, which may subsequently result in a received order. For more information about issued quotations, please refer to our documentation.
This guide, however, does not cover importing issued quotations themselves, but rather their line items. Line items can only be created once the issued quotation itself exists and is available to import them into.
If your license includes imports of issued invoices, they will be available in the Tools module (Tools -> Import -> Import from Excel -> Issued Quotation Line Items).
We will now proceed to importing a specific file. We will be importing the following sample file: polozkyVydaneNabidky.xlsx
Since the Excel file contains column headers, check the "Ignore first row (column headers)" option when selecting columns.
Note: The order of the columns selected for import must exactly match the order of the columns in the Excel file.
The table below explains what value each column should contain.
Column | Description |
Business Document | Enter the code (internal number) of the issued quotation into which the line items are to be imported. |
Price List Code | The identifier (code/abbreviation column) of the corresponding price list item. |
Name | The name of the line item. If not imported, it will be carried over from the price list. |
Unit Price | The selling price of the given price list item. If not imported, it will be carried over from the price list. |
Warehouse | The warehouse from which the item is to be issued. This field should only be filled in if the item is a stock item. |
If you reference price list items, all information stored in the price list will be automatically populated into the line item. This may include, for example, the VAT rate, price type, or other text-based information.
We would like to remind you that if you want to import issued quotation line items, you must first create the quotation itself into which the line items will be imported.
More information can be imported into issued quotation line items. For the purposes of this example, however, the columns described above are sufficient.
A full list of record attributes and their properties can be found at:
https://demo.flexibee.eu/c/demo/nabidka-vydana-polozka/properties
After selecting the relevant columns, click the "Ok" button and a table will appear showing the data types of the selected columns and their properties.
After clicking "OK", select the file to import and confirm your consent to import the records. The import will notify you of the update to the issued quotation. The "To Update" column will display the number of line items to be imported.
If you want to update existing line items, the import confirmation screen will look the same. In that case, always reference the ID column.
If the import fails and the Excel file needs to be corrected, a window should appear displaying the specific errors, and optionally an option to send an error report to Flexi support.
If the import completes successfully, the newly created line items will appear in the respective issued quotations in the register.
