How to create a transfer order in the desktop application?

Similarly to receiving and issuing stock, you can also transfer your goods between warehouses. A transfer document is nothing more than an issue from warehouse A linked to a subsequent receipt into warehouse B.

When creating a transfer document, we can save ourselves the work of filling in the necessary information for each issued document separately by using document types.

Creating Document Types

Go to warehouse document types ("Goods –> Warehouse Document Types") and create two types here - "Transfer Receipt" and "Transfer Issue".

First, we'll create the document type "Transfer Receipt". We can fill in a number of details, such as whether it's an accounting document or not. In our case, however, it's enough to fill in just the movement type.

With the document type set up this way, we can save it and move on to creating the "Transfer Issue" document type. This one contains more important details.

  • Movement type + specification

    Set it to "Transfer Issue". Thanks to this specification, Flexi knows that this is a transfer and will want to complete the transfer with a receipt into the destination warehouse.

  • Transfer document type

    Determines the document type with which the receipt into the destination warehouse will be created. In our case, this is the previously created document type "Transfer Receipt".

Once we've set up the above, we can move on to creating the transfer document.


Creating a Transfer Document

As mentioned above, a transfer document always has two sides - an issue and a receipt. The issue always needs to be created first. With the correct setup, Flexi can automatically create the receipt into the destination warehouse.

In the issue document, you can add the destination warehouse (in addition to the details filled in from the document type). If you fill it in right before saving the document, Flexi won't ask about it when saving to the warehouse.

You also need to, among other things, fill in the transferred items and save the document. If everything mentioned in the guide above has been filled in, Flexi will ask whether you want to complete the transfer.

Confirming this prompt will create the receipt into the destination warehouse. All details are filled in automatically by Flexi.

Saving the receipt completes the transfer. The goods will now be located in the destination warehouse.


Price on the Transfer Document

You don't enter a price on the transfer document. A transfer starts with an issue, so the price is determined according to the configured inventory valuation method, just like with a regular issue document. The goods are then received into the destination warehouse at the same price, so both sides of the transfer must match.

ℹ️ If you retroactively correct the price on the original receipt, the change will also be reflected in the transfer - both in the issue from the source warehouse and in the receipt into the destination warehouse. This is handled automatically by the warehouse recalculation.

Transportation costs between warehouses can be factored into the transfer price, but not by direct override. Record them as ancillary costs on the receipt that completes the transfer. However, you must always have a document to support them, typically an invoice from the carrier or a fuel receipt.
