Recording Inventory Movements in the ABRA Flexi Desktop Application

Introduction

This is a list of all created stock documents. You can use them to automatically create sales documents (invoices and cash receipts) and to allocate incidental costs to the acquisition of inventory.

You can access this list in the "Goods" module under Receipts/Issues.

The table's top toolbar contains a number of buttons, whose meaning is described in a separate chapter, "Program Controls".

Below the top toolbar there is also a filter bar where you can narrow your selection:

  • by accounting period

  • by document issue date

  • by warehouse

  • by movement type (receipt, issue), incl. further specification ("plain" receipt/issue, receipt/issue after invoice, after order, for invoicing, for transfer, of product)

  • by document status (invoiced, invoiced in bulk, generated from invoice, paid by cash register, generated from cash register, transfer, production)

  • by user.


Services

Function

Using this function, you can first create stock documents – receipts/issues – and then automatically create an incoming/outgoing invoice from them.

First, you're asked to select the document type. The form of the selected invoice then appears, with the stock document items transferred to the invoice items, along with the company. You can review, complete, and save the data.

Function

If you first need to create stock documents – receipts/issues – and don't want to issue an invoice, but instead the payment will be made in cash. First, you're asked to select the document type.

The form of the relevant cash receipt then appears, with the stock document items transferred to the invoice items, along with the company. You can review, complete, and save the data.

Function

This option allows you to easily create a transfer between your warehouses. As the first step, create an issue document in the usual way. Then, after confirming this option, you'll be asked to select the document type.

This is how you specify the warehouse you want to transfer the goods to. The receipt form then appears, with the items from the issue document transferred over. You can review, complete, and save the data.

Function

This option is related to the company setting in the "Modules" -> "Goods" tab, where you can check Allow generation of issue requests. If you have goods that have been invoiced but not yet received into stock, you can use this option to satisfy an issue document with zero quantity – the goods will then be issued from stock and the document (issue document) status will change to "Generated from invoice".

In the stock document items, the "Quantity/Issue unit" column will be filled in with the actually issued quantity. The values in the "Requested unit" and "Quantity/Issue unit" fields will match.


Filter dropdowns

Using the filter dropdowns, you can easily and quickly filter the displayed documents. Set the filter according to your current needs; the last filter used will also be applied the next time you open the list.

Filtering options

Calendar year (document issue)

Years are offered in descending order, from next calendar year (based on your computer's date) back to 1990.

Date (document issue)

For the current accounting period only: Last 7 days, last 35 days, current day, current week, current month

Always available: 12 calendar months, 4 quarters (in the year of the selected accounting period or in the year selected in the filter)

Warehouse

Individual created warehouses are offered.

Document type

Individual created document types are offered.

Movement type

You can filter documents that were created by a specific user.

The filter dropdowns first offer an option that doesn't restrict the display according to that parameter. In each dropdown, you can select exactly one item; for advanced settings, use the global filtering function.


"Receipt/Issue" Card

Click the New button to open the form for a new document.
If you use only the right-hand part of the split button with the drop-down list, the "Document type" will already be preset.

The form's top toolbar contains a number of buttons, whose meaning is described in a separate chapter, "Program Controls".

For better orientation, it is divided into five parts. The header has 4 parts, the fifth part is the items.

  • header "Top-left panel"

  • header "Top-right panel"

  • header "Bottom-left panel"

  • header "Bottom-right panel"

Top-left panel

This is the upper-left part of the "Header." It contains data relating mainly to the document itself. For better orientation, it is divided into several further tabs.


"Main" Tab

This tab is included in all documents. It contains the main data that must be filled in most cases.

Document type

Determines the basic properties of the document and divides documents into groups; the values offered are those recorded in the menu Goods – Stock document types: Transfer movement – between individual warehouses (goods, services), Standard stock movement – within a single warehouse (goods, services), Production

Movement type

Use the drop-down list to select whether it is a

  • Receipt – of goods into the warehouse,

  • Issue – of goods from the warehouse.

If you used the second half of the split button drop-down list to open the form, you already had the option to select directly whether you want to create a new receipt, a new issue, or a new transfer. This field will then already be set according to your confirmed selection. However, you can still choose a different option.

Movement type specification

For Movement type "Receipt", the following options are offered:

  • "Plain" receipt – such a document will have no links to other documents; this could be, for example, a receipt used when entering opening balances, or a receipt from settling inventory differences,

  • Receipt for invoicing – relates to a receipt into stock that precedes an invoice,

  • Receipt of product – used to distinguish a goods receipt from a product receipt; if you use a bill of materials, a product receipt will generate an issue document for the individual parts of the product,

  • Receipt (credit note, return),

  • Issue (credit note, return).

For Movement type "Issue", the following options are offered:

  • "Plain" issue

  • Issue for invoicing (price list prices) – this is an issue from stock that is subsequently invoiced; the sales price set in the price list is used for invoicing,

  • Issue for invoicing (manual prices) – if you want to use a different price during invoicing than the one set in the price list (or you don't have a price set in the price list), you must select this movement; in this case, the Sales price field will be displayed to fill in when creating a stock item; when saving, the sales price value is checked (if you set it lower than the purchase price, you will be alerted),

  • Issue for transfer – this is an issue for transfer to another warehouse.

If receipts/issues are created automatically, this field takes on additional values so you can easily recognize how the document was created from the text.

Warehouse

Determines the basic document settings (document series, warehouse account, and, where applicable, the offsetting account number, cost center, activity, currency); select the relevant warehouse from the drop-down list – warehouses recorded in the menu Goods – List of warehouses will be offered.

Internal number

The value is automatically filled in after selecting the document series, i.e., depending on the Movement type and Warehouse fields. If you have not set up a receipt/issue series for the given warehouse, the relevant list of document series will be offered for selection while completing the document.

Variable symbol

A numeric payment identifier up to ten digits long.

Description

Automatically filled in based on the values in the Movement type and Posting rule fields; the value can be overwritten.

Issue date

If the selected accounting period matches the current calendar year, when the first document in the series is opened (i.e., after launching this option), the date is set to the current date based on your computer's date (it can be overwritten). Note: if you need to post to a past accounting period, the date is set to the last day of the selected accounting period when the first document in the series is opened; for subsequent documents in the series, the date is carried over from the previous document.

Stock date

In addition to the issue date, each stock document item also carries what's known as the stock date – i.e., the moment the stock movement actually occurred. This date is only stored in the database; it is not shown in the application and cannot be changed.

ℹ️ If you issue a document retroactively, stock is handled as of the actual acquisition date, not the issue date. So if you enter a receipt today with an issue date one month in the past, the document will carry that date, but the goods will only be received into stock as of today.

For the same reason, Flexi will not let you retroactively issue goods that you did not actually have in stock on that day, even though the document has a retroactive issue date. This difference is described in more detail in the article about the Straighten dates function.

Movement type specification

This field is not required. You can choose from the following options:

  • "Plain" receipt/issue – you can use this movement to mark that the document will have no links to other documents. This may be a receipt used when entering opening balances, a receipt/issue from settling inventory differences, etc.,

  • Receipt for invoicing – you can use this movement to mark that this is a receipt into stock that precedes an invoice,

  • Issue for invoicing (price list prices) – you can use this movement to mark that this is an issue from stock that will subsequently be invoiced. The sales price you set in the price list will be used for invoicing,

  • Issue for invoicing (manual prices) – if you want to use a different price during invoicing than the one you set in the price list (or you don't have a price set in the price list), then you must select this movement. In this case, when creating a stock item, the "Sales price" field will be displayed to fill in. When saving, the sales price value is checked – if you set it lower than the purchase price, you will be alerted,

  • Issue for transfer – you can use this movement to mark that this is an issue for transfer to another warehouse,

  • Receipt of product – this lets you distinguish a goods receipt from a product receipt. Based on a product receipt, if you use a bill of materials, an issue document for the individual parts of the product will be created,

If receipts/issues are created automatically, this field takes on additional values so you can easily recognize how the document was created from the text.

Document status

The value is set automatically; the field can take on the following values:

  • invoiced,

  • invoiced in bulk,

  • generated from invoice,

  • generated from invoice – incomplete – if generation of issue requests is enabled,

  • paid by cash register,

  • generated from cash register,

  • not invoiceable – if summary invoicing is set,

  • transfer,

  • production.

Note: if this field is empty, the document is still awaiting further processing, or it is a "Plain" receipt/issue Movement type.

Description

Here you can enter text for better orientation in the document table. This field is not required. If you have filled in a description for the document in the list of warehouses in the "Document texts" tab, that description will be carried over here.


"Supplement" Tab

The values in this tab do not need to be filled in. It contains only supplementary information.

Order number

Optional field. Printed on the delivery note.

Delivery note

Optional field. Document confirming handover and acceptance of goods. The value is printed on the stock document (receipt/issue).

Transport method

Optional field. The values offered are those recorded in the menu Tools – Codelists – Transport methods, e.g., Czech Post, PPL, In person. Use the F2 key to open the selection list for more advanced selection, editing, or adding a transport method.

Transport and shipment.

Optional field.

Intended for supplementary text regarding the shipping method; the value entered is printed on the delivery note. You can type the text manually or select from predefined texts using the drop-down list. Use the three-dot button next to the field to open a multi-line editing field for better clarity. When entering text manually, you can use the so-called autocomplete – as you type the initial letters, the offered list of existing texts narrows down. While editing the text, the "+" and magnifying glass buttons appear above the field.

If the text you just entered is not among the predefined texts, you can add it by pressing the "+" button. Pressing the magnifying glass button opens the codelist of predefined texts, where you can select a different existing text, or add, edit, and delete texts.

Pickup point ID

When shipping to a specific pickup point (Czech Post Parcel to post office, Czech Post Balíkovna, Zásilkovna, PPL Parcelshop, DPD Parcelshop, GLS Parcelshop, Uloženka, WeDo PickupPoint, WeDo Box), its ID is required. This ID can be entered in the "Pickup point ID" field. If an issue document or invoice is generated from the order, it will be carried over. This field is only available in the Premium edition of the program.


"Note" Tab

Note

A field for any information that is not printed on the document; if notes on the document repeat, you can again use the split button to save the text to the list of predefined texts.


"Introduction" Tab

Introductory text

Printed on the invoice.


"Conclusion" Tab

Closing text

Optional field. No character limit.

Text that will appear, in the printed version, after the document items and before the VAT recap. Its operation is described under the Introductory text field.


"Attachments" Tab

The data in this tab is not printed on the document. It's for your own use, if you need to store any attachments (documentation, warranty card, declaration of conformity, etc.)

The table's top toolbar contains a number of buttons; the meaning of some of them is described in a separate chapter, "Program Controls".

Use the button to add a new attachment. When adding, you can choose from these options:

  • File – a file from your local computer is loaded into the database,

  • Link to internet – the application stores a link (URL); the data of the linked resource is not loaded into the application,

  • Link to file – the application stores a link to a file on the local computer's disk; the file's data is not loaded into the application (do not rename, move, or delete the linked file).

An inserted attachment has an icon that lets you view the attachment at any time. Using the icon, you can save the attachment to another location. The button is used to scan the given document; the second option lets you choose the scanner and scanning parameters.


Top-right panel

This is the upper-right part of the "Header." The data given here relates to the business partner.


"Supplier/Customer" Tab

This contains basic information about the business partner.

Company

You can select the business partner from the Address book (the following fields will be filled in automatically), or you can enter the partner's details manually (in which case leave this field empty).

You can enter the abbreviation or name of the company (or just part of the abbreviation or name) and select the desired company from the offered records. You can also open the company list (using the icon on the right or the F2 key) and search for the company using filters, edit the business partner's company before selecting it, or add a completely new record; to select a company from the list, simply double-click on its record.

Only companies recorded in the business partner Address book that have the value Customer, Supplier, or Customer/Supplier selected in the Relationship type field are offered.

Name

Enter the exact name of the company. The field is automatically filled in when a company is selected from the address book; otherwise fill it in manually. Note: If, after filling in the company name, you click the blue underlined label of the Name field, a page of search results in ARES (the Administrative Register of Economic Subjects) will open in your web browser, with data from the commercial or trade register, the VAT payer list, etc.

Street

Enter the street of the company's registered office, including the house number or the orientation number, or a combination of both. Note: If, after filling in the City and Street fields, you click the blue underlined label of the Street field, the Mapy.cz portal will open in your web browser, showing a map of the company's registered office.

City

Enter the name of the city or municipality where the company has its registered office. When entering the city name, you can use the so-called autocomplete: start typing the name of the city, municipality, or part of a municipality, and the application will suggest the full name of the city, including its potential district, based on the initial letters, and will also fill in the corresponding value in the Postal code field.

Postal code

Enter the postal code of the company's registered office (for foreign companies, the local equivalent of a postal code). When you enter a valid postal code, the City field is automatically filled in. When entering the postal code, you can again use the autocomplete feature: start typing the first digits of the postal code or the beginning of the city name, and the application will suggest possible cities, municipalities, or their parts.

Country

From the drop-down list, choose the country where the company is based. If you selected a city or postal code from the autocomplete, the Czech Republic or Slovakia will have been filled in automatically. To speed up the search, you can type the first letters of the country's name, and the application will move you to the first matching country.

Company ID (IČO)

This field is filled in automatically if you selected a company from the address book; otherwise, it can be filled in manually. Note: if you click on the Company ID (IČO) field label after filling it in, ARES (an overview of selected economic subjects) will open in your web browser, with data from the commercial or trade register, the VAT payer list, etc.

VAT number (DIČ)

This field is filled in automatically if you selected a company from the address book; otherwise, it can be filled in manually. Note: if you click on the VAT number (DIČ) field label after filling it in, ARES (an overview of selected economic subjects) will open in your web browser, where you can verify the data directly from the VAT payer list.

EAN

An international unique company number assigned by the relevant authority, needed for EDI electronic communication, or if you want this code printed on the invoice for use with a scanner.


"Postal Address" Tab

Allows you to specify an address for postal correspondence. It only makes sense to fill in this tab in the case of a company with an operating branch at a location other than the registered office listed in the public register. A postal address can be filled in for each company in the Address book; it will be automatically added to the document when the company is selected. The postal address given will be printed on documents in a way that, once folded, it is visible through a standard windowed envelope.

Postal address is the same as the registered office

When this checkbox is checked, the following fields are unavailable, and the registered office address given on the Supplier/Customer tab is used. Unchecking it makes the rest of the tab's fields available.

"Destination" Tab

The data on this tab is printed on delivery notes and is taken from the menu Business partners – Company addresses, from the Destination tab; it cannot be filled in manually. It indicates the location the goods/product should be delivered to.

This tab cannot be filled in manually. The value is taken from the address book, from the "Destinations" tab.

Destination

If you have more than one destination recorded for a given company, the one with the Primary destination flag checked will be pre-filled automatically; you can select a different destination using the drop-down list.

Bottom-left panel

This is the lower-left part of the "Header." It contains data that mainly affects accounting, but also cost center management, order tracking, activities, and so on.


"Specification" Tab

Posting rule

Optional field. Only available for accounting documents.

Makes posting individual documents easier by automatically filling in the document description, posting accounts, and VAT line based on the selected posting rule. Select the posting rule from the drop-down list.

Press F2 to open a table view of the list for more advanced selection, editing, or creating a new posting rule. To post the document, an account must be filled in on the Posting tab or in the Items section at the bottom of the form.

Note: if you filled in the Posting rule field on the Posting tab in the warehouse list, the value will be preset automatically (if needed, you can select a different rule from the drop-down list).

Cost center

Filling in this field makes posting easier; to post the document, the cost center must be filled in directly on the individual items; note: if you filled in the Cost center field on the Posting tab in the warehouse list, the value will be preset automatically (if needed, you can select a different one from the drop-down list).

Activity

This field is automatically filled in if the Activity field is filled in on the Posting tab in the menu Goods – List of warehouses (if needed, you can select a different activity from the drop-down list).

Order

Optional field.

You can select from orders recorded in the Sales – Orders codelist the one the document relates to. You can enter the abbreviation or name of the order (or just part of the abbreviation or name) and select the desired order from the offered records. You can also open the order codelist (using the magnifying glass button or the F2 key) and search for the order using filters, or edit it or add a completely new record.

Labels

Optional field.

Used for tagging the document with labels, which are then displayed in the field and can, above all, be useful for filtering. Pressing the Attach button opens the label selection form. The left field offers Available labels, while the right field shows the labels assigned to the current document.

You can assign or remove labels using the arrow buttons between the two fields mentioned. If you use labels intensively, you can use the Groups drop-down list, designed to display labels of only the selected group. After setting the labels, confirm with the OK button. If you need to add a label that you don't yet have in the Available labels field, use the Manage labels button. This opens the label codelist (menu Tools – Codelists – Labels), where you can add the desired label.


"Posting" Tab

Posting date

This is the date of taxable supply; it is loaded from the Issue date field on the Main tab and cannot be changed.

Warehouse account

This field is automatically filled in with the value given in the menu Goods – List of warehouses (the Posting tab and the Warehouse account field); otherwise, select it using the icon on the right; warning: if this field is not filled in, either here or in the individual items, the document will not be posted.

Offsetting account

This field is automatically filled in with the value given on the Document specification tab in the Posting rule field; otherwise, select it using the icon on the right; warning: if this field is not filled in, either here or in the individual items, the document will not be posted.

Posting status

If, on the document, all items have the Warehouse account, Offsetting account, and Cost center fields filled in, and you then save the document, this flag will be checked both on the document detail and in the Posted column of the table. Warning: this flag cannot be unchecked.


"Intrastat" Tab

Intrastat is an electronic data collection system mandatory for all EU member states. This tab lets you record all the necessary data.

Country of dispatch

The country from which the product was dispatched.

Country of destination

The country to which the product is to be delivered. Fill this in if the document contains items that are being sent by you, the invoiced company. If the goods are being exported to a third country and, upon leaving the Czech Republic (or Slovakia, under Slovak legislation), have not yet been released into any export customs regime because this release will be carried out by customs authorities in another EU member state, enter that member state.

Country of origin

The country the product originates from. Fill this in if the document contains items that you are receiving. In the case of trade with a third country where, before being received into the Czech Republic (or Slovakia, under Slovak legislation), the goods were released into a free circulation customs regime in another EU member state, enter that member state.

Region of origin

The region the product originates from.

Transaction

Select the relevant transaction from the drop-down list; the values offered are those from the menu Tools – Codelists – Intrastat – Business transactions.

Delivery terms

Select the delivery term from the drop-down list; the values offered are those from the menu Tools – Codelists – Intrastat – Delivery terms.

Type of transport

Select the type of transport from the drop-down list; the values offered are those from the menu Tools – Codelists – Intrastat – Type of transport.

Special movements

The values offered are those from the menu Tools – Codelists – Intrastat – Special movements.


"Responsible Person" Tab

Responsible person

The user responsible for the given receipt/issue document; the persons offered are from the menu Tools – Persons and users.

Contact person

The name of the person to contact regarding the given document.

Name

Bottom-right panel

This is the lower-right part of the "Header." It contains, within a single tab, data relating to the financial part of the document.


"Warehouse" Tab

Total [CZK]

The total amount of the stock document in CZK; automatically calculated as a sum of the items.

Currency

If the document is to be in a foreign currency, select it from the drop-down list – the Exchange rate and Currency fields will become available; note: if you have a value entered in the Currency field on the Posting tab in the menu Goods – List of warehouses, then the currency of the selected warehouse will be transferred into this field.

⚠️ Do not mix the document currency with the warehouse currency. If you manually create a receipt in a foreign currency for a warehouse maintained in CZK, the entered price will be saved as if it were in the warehouse currency, and the values on the stock card will no longer match each other. For more details, including the rule for which currency a document inherits from an order and which from an invoice, see the article Warehouse in a foreign currency and warehouse in the domestic currency.

Exchange rate

This field becomes available after selecting any value other than Czech koruna in the Currency field; its value will be loaded if you have filled in the Exchange Rates form in the menu Tools – Codelists; the rate can also be entered manually.

Total [currency]

This field is automatically filled in by calculation from the preceding values if the document is issued in a foreign currency.


"Items" Card

You can add an item to the receipt/issue document by clicking the Add button.

The form's top toolbar contains a number of buttons, whose meaning is described in a separate chapter, "Program Controls".

Confirming the button opens a card for creating a new item. It is created across two tabs:

  • "Main" tab

  • "Posting/Specification" tab

Why a document item cannot be edited after saving

Once a stock document item has been saved, it can no longer be edited. This is not an oversight, but rather a way to protect the consistency of the stock.

If it were possible to subsequently change the quantity on an item, Flexi would have to verify, for every such change, whether the stock could actually accommodate it. If you receive 10 pieces and already issue 8 of them, you cannot subsequently reduce the receipt to 1 piece, because there would then be nothing for the issue to draw from. For this reason, editing items is completely prohibited. The item form is shared for both receipts and issues, so the restriction also applies to issue documents, where the problem would theoretically not arise.

If you need to correct an item, you must delete it and create it again. The same check is performed when deleting. If an issue already follows the receipt, deletion will not go through, because there is a FIFO link between the documents. How to proceed in such a situation is described in the article Unable to delete an incorrectly created receipt.

ℹ️ There is one exception: the price on a receipt can be changed retroactively at any time, even if issues follow from it. Saving triggers a warehouse recalculation, which spreads the new price across all subsequent issue documents. So the quantity is fixed, but the price is not.


"Main" Tab

This tab is used to select stock items from the price list and to set the quantity in units, the purchase prices for receipt documents, and the sales prices for issue documents.

Price list code

Required field. Only accessible once a warehouse has been selected.

You must select the document item from the Price list; the following fields will be automatically filled in once selected.

You can enter the abbreviation or name of the price list item (or just part of the abbreviation or name) and select the desired item from the records suggested by the autocomplete. You can also open the price list (using the magnifying glass button or the F2 key) and search for the item using filters, edit the item found, or add a completely new record; to select an item from the list, simply double-click on its record.

If you select a price list item from a warehouse other than the preset one, the Warehouse field will be set according to the selected item.

If you use a barcode scanner in the warehouse, you can use it – when a price list item is found, the price list item code will be filled in automatically.

Warehouse

Required field.

The default value of this field is taken from the Warehouse field in the document header. Use the drop-down list to select a different warehouse. If no warehouse is selected, you cannot proceed with adding a document item, because the Goods code field will not be accessible. If you select a price list item from a warehouse other than the preset one, the field will be set according to the selected item.

Name

Automatically filled in based on the value in the Price list code field.

EAN

The international barcode entered if you communicate electronically with the given company, or if you need this code printed on the invoice for use with a scanner. If you use a barcode scanner, the EAN code will be carried over automatically. Or you can enter it manually using the key combination you set up in the initial setup.

Quantity

The number of units. The number of decimal places entered is set in the price list. The default value is 1.

Stock level [unit]

The stock level in units. This is an informational field, filled in based on the selected price list code. This lets the user immediately see how much of the selected goods is in stock. If negative stock levels are not allowed, the program will not permit selling a larger quantity than the one shown here.

Unit

This value is taken from the price list. If it's not specified there, you can select it here from the units of measure codelist.

Price per unit

  • Price per unit for a receipt – this field is automatically populated with the purchase price from the last receipt document. This is to inform the user, so that they know whether they are purchasing the new goods at a higher or lower price and can adjust the sales price accordingly. If the goods have not yet been received into stock, the price you entered in the price list as the purchase price is filled in here. If you have not filled in a price in the price list, this field remains empty.

If the receipt document is in the domestic currency, the price shown here is in the domestic currency.

If the receipt document is in a foreign currency and the warehouse is also maintained in that same currency, the price shown here is in the foreign currency.

If the receipt document is in a foreign currency, but the warehouse is in the domestic currency, it is advisable to use exchange rates for pricing. In that case, the above-mentioned price in the domestic currency will be converted to the foreign currency.

In both of these cases, the offered price can be overwritten.

⚠️ Always enter the price in the currency of the warehouse where the document is being created. If you enter an amount in euros in this field for a warehouse maintained in CZK, Flexi will save it as if it were in CZK, and the average price on the stock card will no longer reflect reality.   • Price per unit for an issue – this field is automatically populated with the average purchase price. This is informational and cannot be overwritten.

If the issue document is in the domestic currency, the program fills in the current average price in the domestic currency.

If the issue document is in a foreign currency and the warehouse is also maintained in that same currency, the program fills in the current average price in the foreign currency.

If the issue document is in a foreign currency, but the warehouse is in the domestic currency, it is advisable to use exchange rates for pricing. In that case, the above-mentioned price in the domestic currency will be converted to the foreign currency.

The average price is also displayed if you value goods inventory using the FIFO method. However, once you save this item, this informational price is overwritten precisely according to the required FIFO method.

  • Price per unit for a transfer – a transfer is essentially a receipt that was created automatically from an issue document. This field therefore shows a price identical to the one shown for the linked issue document, and it cannot be overwritten.

Serial numbers

If the price list item being added is one for which serial numbers are recorded, a "Serial numbers" button will appear on the form. Pressing it opens a dialog for entering serial numbers. Warning: entered serial numbers are automatically stripped of invisible characters (space, tab, …) at the beginning and end.

Sales price

This field only appears for issue documents, provided that you selected "Issue for invoicing (manual prices)" in the "Movement type specification" field on the "Main" tab.

Here you enter the price at which you want the goods to be invoiced. When saving, the sales price value is checked – if you set it lower than the purchase price, you will be alerted.

Total [CZK]

This field displays the total price for the item in the domestic currency.

  • If the document is in the domestic currency, this is the product of the "Quantity" field and the "Price per unit" field. In this case, the adjacent "Total [currency]" field is empty.

  • If the document is in a foreign currency, i.e., the price per unit is also given in the foreign currency, the calculated price is entered in this field. It is based on the "Total [currency]" price in the adjacent field, multiplied by the current exchange rate shown on the "Warehouse" tab. Any exchange rate for pricing that may be used has no effect on this conversion.

Price total [currency]

If the document is in a foreign currency, i.e., the price per unit is also given in the foreign currency, this field shows the total price for the item in the foreign currency.

Note

Optional

You can enter any note related to the item in this field. The note is for your information only and is not printed on any document. You can type the note into the field manually. Use the three-dot button next to the field to open a multi-line editing field. While editing the note, the "+" and magnifying glass buttons appear above the field.

If the note you just entered is not among the predefined texts, you can add it by pressing the "+" button. Pressing the magnifying glass button opens the codelist of predefined texts, where you can select one of the existing texts, or add, edit, and delete texts.

Labels

Optional field.

Used for tagging items with labels, which are then displayed in the field and can, above all, be useful for filtering. Pressing the Attach button opens the label selection form. The left field offers Available labels, while the right field shows the labels assigned to the current document item. You can assign or remove labels using the arrow buttons between the two fields mentioned. If you use labels intensively, you can use the Groups drop-down list, designed to display labels of only the selected group.

After setting the labels, confirm with the OK button. If you need to add a label that you don't yet have in the Available labels field, use the Manage labels button. This opens the label codelist (menu Tools – Codelists – Labels), where you can add the desired label.


"Posting/Specification" Tab

This tab is relevant for posting stock items and, where applicable, for further specifying details such as batch, expiration, etc.

Behind the items at the top of the screen (posting rule, account, cost center, activity, order) are marked fields. This is how the system is set up, and it means that fields marked this way are copied from the document header, i.e., from the "Document specification" and "Posting" tabs. This is why they appear grayed out in this state – inaccessible. If a correction is made in the document header, the change will also be reflected in these marked items.
If you select an item from the price list in the document item that is assigned to a certain group, posting is governed by the settings in that group.

If you need to post any of these marked values differently, simply uncheck the box, which will make the field available so you can change the value. If a correction is subsequently made in the document header, the change will not be reflected in these unchecked items.

Posting rule

Makes posting individual documents easier; to post the document, the account fields below must be filled in.

If you change it, the related account will change automatically, and the checkbox next to the related account will be unchecked at the same time.

Account

  • Debit base

  • Credit base

The offsetting account of the warehouse account; it is carried over from the document's Posting rule field on the Document specification tab, or from the Offsetting account field on the Posting tab; if you have the item from the Price list form assigned to a certain group, the posting will be adjusted according to the group's settings; it can also be changed independently, without changing the Posting rule field.

One of these two accounts is grayed out, i.e., cannot be edited; this is the warehouse account, taken from the warehouse settings, and shown on the document's Main tab, or on the document item's Main tab. For a receipt, this is the Debit base account; for an issue, the Credit base account. If you need to change it, you must modify the warehouse in the document item on the Main tab.

Cost center

Optional field.

An informational field, not used anywhere else. The drop-down list contains values from the Tools – Codelists – Cost centers codelist.

Activity

Optional field.

Allows items to be categorized by activity. The drop-down list contains values from the Tools – Codelists – Activity codelist.

Order

Optional field.From the orders recorded in the Sales – Orders codelist, you can select the one the document item relates to. You can enter the abbreviation or name of the order (or just part of the abbreviation or name) and select the desired order from the offered records. You can also open the order codelist (using the icon on the right or the F2 key) and search for the order using filters, or edit it or add a completely new record.

Batch and Expiration

This field must be filled in already at the first receipt; if these fields are also to be filled in when goods are issued, check the Issue by expiration box in the menu Goods – Stock cards; when saving the item, the batch and expiration with the shortest remaining time will then be filled in automatically. Warning: if you are issuing a certain quantity of a single item from stock, but with different batches and expirations, you must create multiple items.

Volume and Volume unit

Filling in these fields is not required. This is informational data about the volume of the given goods. The value is carried over from the price list, from the field of the same name on the "Specification" tab. Of course, you can also fill it in manually.

Supplier

This value is carried over from the price list, from the field of the same name on the "Specification" tab. You can also add it manually using the magnifying glass button from the company list.


Receipt/Issue Document – Automatically Generated Document

In some cases, documents are created automatically. You can tell how a document was created from the "Document status" field on the "Main" tab in the top-left panel. Additionally, use the button

Links to find out which document the selected stock document is linked to.

  • The Internal number of an automatically created document corresponds to the receipt series and issue series settings in the warehouse list. If these settings are not configured, the program will prompt you to complete them.

If you confirm with Yes, a dialog for the selected warehouse opens so you can complete the document series. If you answer No, the item will not be able to be saved.

  • The Posting of automatically generated stock documents is governed by the posting rule set for the selected warehouse. If a price list item is assigned to a certain group, posting is governed by the settings in that group. Of course, the posting can be changed in the same way as with manually created documents.

  • In incoming invoice types in the "Purchase" module, in outgoing invoice types in the "Sales" module, and in the cash register list in the "Money" module, you can check Automatically generate stock documents. Then, when these documents are saved, if they contain stock items, a stock document – an issue or a receipt – will also be created. In the top-left panel, on the "Main" tab, the movement type specification "Receipt/Issue after invoice" will be set automatically. The "Document status" field will automatically be set to "Generated from invoice/cash register".

  • Stock documents – issue documents during production are created automatically if you use a bill of materials. If you save a stock document – a receipt for a product, i.e., for a price list item where you have filled in the bill of materials tab – an issue document from the warehouse for the items will be created immediately, according to your settings. On the receipt, you can manually select, in the top-left panel on the "Main" tab, the movement type specification "Receipt of product". The "Document status" field will automatically be set to "Production". On the resulting issue document, the movement type specification "Issue of product" is set automatically, and the document status "Production" is set to match the receipt. You still need to manually change the posting for both documents.

  • A receipt/transfer is created automatically. First, you manually create an issue document. In the "Movement type specification" field, select "Issue for transfer". If you use the right-hand part of the split button, you can select the "New transfer" option directly from the menu. In that case, "Movement type specification" will be set automatically to "Issue for transfer". After saving the transfer, the system will ask whether you want to create the transfer immediately.

If you answer Yes, a receipt for the warehouse you selected will be created immediately.

If you answer No, you can create the transfer later manually via the Services button.

In both cases, you must then select, from the warehouse list, the warehouse you want to transfer the goods to.

After selecting and confirming it, a receipt is generated automatically. The "Movement type specification" field will be filled in as "Receipt for transfer". The "Document status" field will be set to "Transfer". Once saved, this status will also be set on the linked issue document. The purchase prices of both documents will always be identical.

If you don't have goods assigned to groups, you can create a single posting rule for transfers for both stock documents – receipt and issue. Both documents created this way will then be posted according to it, and the set account will be balanced by both documents.

If you have goods assigned to groups, the account from the group is carried over to the issue document, and it is also used for the receipt, which also balances that account. A transfer does not affect the account balance.


Cancelling and Deleting a Stock Document

An incorrectly created stock document can either be cancelled or deleted. Both procedures have the same effect on stock – the inventory returns to the state it was in before the document was created. However, they differ in what remains in the records afterward:

  • Cancellation leaves the document in the list; it is simply struck through and marked in the Cancelled column. The document remains traceable and is printed with the word CANCELLED.

  • Deletion removes the document from the records. It can then only be found in the journal.

Only a document that nothing else depends on can be deleted:
