In this chapter, we will look at a specific example of importing from Excel into the address book records. Populating the company address book is one of the steps in transitioning to Flexi. The address book is an essential component for properly managing clients and partners. For the general principles of Excel imports, we recommend reading the first chapter - Introduction. Excel imports are available from the Business plan and above.
Company Addresses
If your license includes address book imports, this option will be available in the Tools module (Tools -> Import -> Import from Excel -> Company Addresses).
Warning: Before importing the address book, we recommend planning your group structure (optional). This is an important aid, especially for accounting purposes — companies can be segmented in line with the analytical accounts of suppliers or customers.
It is also important to consider what you expect from this module. In the "Company Addresses" section, a wide range of fields can be filled in. Which fields you complete depends on how you intend to use the address book. Of course, it is not necessary to fill in bank account details for customers, etc. (these records have their own Excel import — Contacts, Bank Accounts, etc.)
Company addresses can be added and updated incrementally, just as you can add and update information on individual company records.
Importing the Address Book from Excel
We will now proceed with importing a specific address book. We will be importing the following file: adresar.xlxs
Since the Excel file contains column headers, check the "Ignore first row (column names)" option when selecting columns.
Warning: The order of the columns selected for import must exactly match the order of the columns in the Excel file.
Code - This is the unique identifier for the address book record. A suitable abbreviation by which you can easily identify the company is recommended. (required field)
Relationship type - One of the required fields is the "Relationship type" field in the main panel header, which allows for easier navigation through the company list. (required field)
Possible values are:
Customer/Supplier (
typVztahu.odberDodav)Customer (
typVztahu.odberatel)Supplier (
typVztahu.dodavatel)Manufacturer (
typVztahu.vyrobce)Social insurance (
typVztahu.socialka)Health insurance (
typVztahu.zdravotka)Tax office (
typVztahu.financniUrad)Production facility (
typVztahu.vyrobna)All (
typVztahu.vsechno)
Company registration number - The company's registration number, optional.
VAT number - The company's VAT number, optional.
VAT payer - specifies whether the company is registered for VAT; possible values are TRUE or FALSE.
Name - the company name, i.e. the name of the company or individual. For longer names, an additional field Name – second line is available. (required field)
Email, phone, street, city, postal code - additional company information; these fields are not required.
All address book record properties can be found at:
https://demo.flexibee.eu/c/demo/adresar/properties
After selecting the relevant columns, click the "Ok" button and a table will appear showing the data types and properties of the selected columns.
After clicking the "OK" button, select the file to import and confirm your consent to import the records. The import will report any new records as well as any updates, which can be performed repeatedly using the code.
If the import fails and the Excel file needs to be corrected, a window should appear displaying the specific errors, or optionally the option to send an error report to Flexi support.
If the import completes successfully, the new company records will appear in the address book.
