HR Excel Import Tutorial – Next Part

In this chapter, we will look at a specific example of importing from Excel into the HR records. Are you setting up payroll management in ABRA Flexi and have a list of employees in CSV or XLS format for Excel? You can use the Excel Import feature in ABRA Flexi. For general principles of Excel imports, we recommend reading the first chapter - Introduction. Excel imports are available from the Business edition onwards.

If your license includes Excel imports, they will be available in the Tools module (Tools -> Import -> Import from Excel -> HR).

We will now move on to importing a specific file. We will be importing the following sample file: personal_vzor.xls

Since the Excel file contains column headers, check the "Ignore first row (column names)" option when selecting columns.

Warning: The order of the columns selected for import must exactly match the order of the columns in the Excel file.

Personal number - required field, this is the unique identifier of a person in HR records.

First name - the person's first name

Last name - the person's last name

Date of birth - date of birth, can be entered in the format DD.MM.YYYY (01.03.1984)

Birth number - birth number in the format YYMMDD/XXXX

Insurance number - any string with a maximum length of 20 characters

Gender - the person's gender, entered as pohlavi.muz or pohlavi.zena

Email, mobile, Street, City, ZIP code - contact details of the person, any strings up to 255 characters in length.

Cost center - reference by abbreviation to the selected cost center (must exist in ABRA Flexi)

Taxpayer discount - boolean value, takes the values PRAVDA (TRUE) or NEPRAVDA (FALSE)

Type of relationship to the company - defines the person's relationship to the company, takes the values typVztahuOsoba.zamestnanec, typVztahuOsoba.uchazec, typVztahuOsoba.externi

Health insurance - reference to the health insurance company by the abbreviation used in the Company Address Book

Payment method - method of salary payment, takes the values zpusobPlatby.ucet, zpusobPlatby.adresa, zpusobPlatby.pokladna

After selecting the relevant columns, click the "Ok" button and a table will appear showing the data types of the selected columns and their properties.

After clicking the "OK" button, select the file to import and confirm your consent to import the records. The import will report the creation of new persons.

If the import fails and the Excel file needs to be corrected, a window should appear displaying the specific errors and, if applicable, an option to send an error report to Flexi support.

If the import completes successfully, the new persons will appear in the Employees – HR records.

Additional employee details such as employment contract, shifts, dependants, etc. must be entered manually in the desktop application.
