Tutorial on Excel imports - defining warehouse for inventory items with zero balance

In this chapter, we will look at a specific example of an Excel import for defining the warehouse location for stock items in the Price List. For general principles of Excel imports, we recommend reading the first chapter - Introduction. Excel imports are available from the Business plan onwards.

When importing new stock price list items for which no warehouse has been defined, it will be necessary to define the warehouse afterwards. Note: This involves creating stock cards (warehouse definition) with a zero balance. If you are creating price list items manually, saving without a warehouse definition is not possible. The application will notify you.

Similarly, if you attempt to stock price list items for which no warehouse has been defined, the application will prevent you from saving — no warehouse option will be offered.

We will now move on to how to bulk-add a warehouse definition to imported price list items.

The Excel import to Stock Card, along with other imports, can be found at Tools -> Import -> Import from Excel.

We will now proceed with the Excel import for specific price list items.
We will be importing the following file: warehouse-definition_template.xlsx

Since the Excel file contains column headers, check the option "Ignore first row (column names)" when selecting columns.


Note: The order of columns selected for import must exactly match the order of columns in the Excel file.


Price List (Code/abbreviation) - The code/abbreviation of the given item, a unique identifier. Required field.

Warehouse (warehouse abbreviation) - the abbreviation of the warehouse (Goods/warehouse list) in which the item is to be located.

Accounting period - indicates the accounting period in which the price list item was added and from when it should be assigned to a specific warehouse.

After clicking the "OK" button in the column selection dialog, a window displaying the data properties of the columns will appear. Among other things, this is where you can look up the required special values for each column.

After confirming the properties of the imported columns, a window will appear showing a summary of how many newly created or updated records will be added to the respective registers.

If the import completes successfully, the defined warehouse will be displayed for the price list items.

At the same time, the items will be written to the stock card.

If the import does not complete successfully and the Excel file needs to be corrected, a window should appear displaying the specific errors, and optionally an option to send an error report to Flexi support.
