As of version 2022.3.0, it is no longer necessary to enter national identification numbers (birth numbers) for foreign employees. Let's take a closer look at how to correctly register such employees.
Employee registration in the HR menu
The first step is to create an employee record in HR. To indicate that the employee is not a domestic worker, we first fill in the nationality on the Other tab:
At this point, Flexi recognizes that the employee is a foreign national and will not require you to enter a national identification number.
On the Basic Information tab, you only need to fill in the Date of birth:
If you were to enter a national identification number here, the date of birth and gender would not be filled in automatically, as they are for Czech employees. If the employee does not have a nationality specified, this tab works the same way as it does for domestic workers.
Foreign insurance
For foreign employees insured with a foreign insurance provider, you can fill in the Foreign Insurance tab in the Payroll Parameters menu:
The information entered here is included in the "Notification of Employment Commencement (Termination)" form. These are the details recorded in the section "Identification of the last (current) foreign insurance carrier".
Tax non-resident
A tax non-resident is a taxpayer who does not have a permanent residence in the Czech Republic and does not stay there for at least 183 days in a calendar year. If your employee is a tax non-resident, check the Tax non-resident option on the Payroll Parameters - Basic Data tab:
Generating the health insurance report
The health insurance report is generated in the standard way via the Employees - Print Outputs - For Health Insurance Companies - Employer's Bulk Notification menu.
If the employee has been correctly registered, the registration code will be filled in automatically, and the Insured Person Number field will contain the health insurance registration number instead of a national identification number.
