Do you need to log any event, task, or activity for a business partner? Do you need to record any task in Flexi that doesn't necessarily belong to a specific company? If you answered yes to at least one of these questions, you will certainly appreciate the events and activities log.
Events and activities can be accessed in two ways — from the perspective of a given business partner, or using the search in the web interface.
When logging events, there is an option to integrate with another application, such as any calendar. As an example, we can mention the Integromat integration between events and Google Calendar.
Creating an event from a business partner
If the event belongs to a business partner, the easiest option is to open the partner in the address book and add the event from there.
On the "Events, activities" tab in the bottom tab bar of the business partner's record detail, you will find the option to add an event. If you cannot find the tab, you can easily display it using the form settings.
A new event is created using the "New" button in the top right corner of the tab.
Just as documents have their own types, events also have a type. The default event types are: "Event", "Note", and "Task". However, this is a user-defined code list, so you can create any event types you need.
Other fields that can be filled in are:
Subject
Location
Start time
Completion time
Responsible employee
Company (in this case, it is pre-filled automatically)
Project
Description
Any attachment can also be uploaded to the event, such as the output of a client meeting. Once all the required fields are filled in, the event can be saved.
After saving, the event can be found under the tab mentioned above.
Creating a standalone event
The second option is to create an event independently. Using the search, open the events and activities agenda and create a new record there.
Here you will find all existing events. You can apply any filtering, for example by company or responsible person.
Using the "New" button in the top right corner of the application, you can easily create a new event.
The difference compared to creating an event from a business partner is that the company field does not need to be filled in. You can therefore use this approach when creating an event that is not related to any of your business partners.
After saving the record, the event will be stored in the events and activities log.
Tips
We recommend using the event type and, where applicable, a repeatedly used meeting subject in connection with events and activities. This is particularly useful when filtering individual events.
Using the API, the events agenda can be paired with another application. As an example, we can mention the integration with Google Calendar.
