Mutual offset – manual creation

How to link documents when manually creating a payment match.

Offsets can be found in the Money module - Mutual Offsets.

Mutual offsets can also arise between different companies or in various situations. In such cases, matching using the wizard cannot be used — individual documents must be created and matched manually.

In this article, we will show you how to create a payment link manually.


Mutual Offset Creation Wizard

Open the Mutual Offsets agenda and click the New button. This will open the Mutual Offset Creation Wizard.

Select the Manual option.


Selecting Documents for Mutual Offset

A form will now open where you fill in the movement type, offset date, partner, and optionally the currency.

To link the documents being offset, it is important to enter an Offset Number that will be the same on all records of a specific offset. The offset line items will differ by their internal number.

After filling in the document header details, click the Match button.

This will take you to the document list, where you can find the document for which you want to create an offset. Confirm by clicking the Select button.

After selecting the document, ABRA Flexi will ask what amount you want to offset (this can be avoided by entering the amount in the document header beforehand).

Confirm by clicking OK and then select the Link option. You will now see in the links that the offset being created has been linked to the selected document.

To complete the offset, you must now select another document to offset against. Continue by clicking the Save and New button. A new record will open where you this time select the Expenditure option. The offset number will be pre-filled with the same value as the first document being offset. If you want to specify the exact amount to deduct, enter it in the VAT recapitulation table or through line items.

After filling in the document header, click the Match button again and a form for selecting documents to offset will open.

Find the document and use the Select option. Since we specified the amount in advance, we can proceed directly to linking the document.

Using the Link option, we link the document to the offset being created — this will be visible in the links.

Save and close the document. At this point, the offset is complete — the offset documents will reflect a change in their payment status.

The resulting offset is posted through a clearing account and the accounts receivable and payable accounts.


Mutual Offset Agreement

The correctness of the offset links can be verified after entering matching offset numbers, for example in the Mutual Receivables Offset Agreement print report. You can find it in the print report selection.

Thanks to the matching offset number, the agreement shows the offset documents, the offset amount, and information about how much remains to be paid on the matched documents.


Manual Creation of a Mutual Offset for Receivable Write-Off

If a customer has not paid their obligation and it is clear they will never pay it (e.g., they are insolvent, have no assets, or the debt is time-barred), you perform a receivable write-off.

To write off a receivable in ABRA Flexi, you can use the mutual offset — manual creation.

In the first step, select and match the receivable to be written off following the procedure described above.

In the second step, after clicking the Save and New button, post the receivable write-off to expenses. You will not match any document — simply enter the amount and the expense account.


​The offset created in this way will reduce assets and increase expenses by the amount of the unpaid invoice.


FAQ

Is it possible to mutually offset receivables and payables in different currencies, e.g., a payable in CZK against a receivable in EUR?

Yes, use the manual mutual offset creation. First, create an offset (Expenditure) and match it to the payable in CZK. Then create a second offset (Receipt) and match it to the receivable in EUR. Make sure to enter the correct exchange rate so that the amounts match exactly.

To link these two offsets, the offset number is key — it must be the same on both records.

Why are mutual offsets from multiple partners being merged in the print report?

Offsets are merged in the print report based on the Offset No. field on the given mutual offset document. If unrelated documents appear together in the print report, it is because they have the same offset number entered.
