When employing multiple employees who have similar employment terms (often the case with, for example, part-time or temporary workers), an add-on that allows us to duplicate a person in HR records will certainly come in handy. This makes it easier to fill in data that these employees have in common.
Installing the add-on
The add-on can be installed from our website: Add-ons - ABRA Flexi (flexibee.eu). This add-on is free for all plans.
For the new feature to appear in the application, you need to either fully close and restart Flexi, or simply switch to another company via Company - Select Company and then switch back to your current company.
Duplicating a person in HR records
A new button, Duplicate Person, has now been added to the Employees - HR Records menu. To duplicate a given employee, select the row for that employee and click the Duplicate Person button:
This will open a new browser window with pre-populated data. Naturally, fields such as personnel number, first name, last name, date of birth, and similar details will not be carried over, as these are most likely not intended to be duplicated.
Editing and completing records
The data that will be duplicated includes information such as person group, payment method, tax credits, health insurance provider, and cash-on-delivery liability type, among others. You can freely modify these values and add new information to the empty fields. Alternatively, you can save the record as-is and fill in the remaining details later in the HR Records menu in Flexi — the choice is yours.
Employment relationship details are also duplicated, but as you can see in the screenshot, only the employment type, the active-from date, and optionally the public holiday calculation method can be set here. If you need to configure additional details — such as the number of vacation days or whether the employment is regular or irregular — you will need to do so in HR Records under the Employment tab.
Wage components are also copied over. You can modify them if needed, but you cannot add new ones at this stage. To do that, you would again need to go to HR Records.
The same applies to deductions. For example, a Multisport card deduction is useful to duplicate, while deductions such as insolvency will need to be updated or deleted in HR Records.
The employee's bank account details can then be entered in the pre-set fields, or added later in the HR Records menu.
Since the add-on does not include all available fields, we strongly recommend duplicating the person first, then saving the record, and finally reviewing and completing the remaining details in Flexi.
