This article provides instructions on how to create an Excel import file for issued inquiries that can be uploaded to the web interface.
The web interface import allows you to:
insert new records as well as bulk-update existing records,
import both the inquiries themselves and their line items in a single file,
make your work faster and more efficient.
We recommend first reading the general article on Excel imports in the web interface, which describes the basic requirements and general procedures.
Issued Inquiries – Basic Import
After clicking "Import from Excel", you need to decide whether the import is:
basic, meaning only standalone inquiries without line items,
or extended, meaning inquiries including their line items.
In the next step, Flexi will display an overview with the Excel columns on the left and their mapped fields in Flexi on the right. It is important to:
verify that the columns are correctly matched,
and add any missing mappings via Advanced Options if needed.
Standard Columns for Issued Inquiries
Below are the columns that are visible by default or recommended:
Column | Description | Note |
Internal Number | Unique inquiry number | Required |
Company Name | Name or abbreviation of the company/person | — |
Issue Date | Date, format DD.MM.YYYY | — |
Due Date | Due date, format DD.MM.YYYY | — |
Status | Current status of the inquiry | Enter according to the defined format |
Total Amount | Total value of the inquiry | — |
Cost Centre | Cost centre abbreviation | — |
Additional columns can be added in the interface — via the settings in the bottom-right corner.
Column formats can easily be found by using Export to Excel in import format or in the properties.

Practical Example – Importing Issued Inquiries Including Line Items
How the import works step by step:
Select extended import to be able to import line items as well.
Prepare the Excel file according to the required format (a sample file is available for download).
Flexi will automatically distinguish between what is a document and what is a line item — even so, verify the column mappings.
First, an import test will run to verify the correctness of the data.
If everything is correct, click "Import" (bottom right).
Once complete, a confirmation of a successful import will be displayed.
Tip for line-item-free documents:
If you want to import only the inquiries themselves without line items, simply add a column called "No line items" with the value TRUE to your Excel file. This tells Flexi that the document has no line items.
