Creating Warehouses and Stock Cards
We have already set up the price list items. In Inventory – Warehouse List – we will create the individual warehouses.
We now need to create warehouse documents – goods receipts. These can be created manually or by importing from Excel. This gives us the current stock levels in both quantity and financial value. Receipts are entered in the previous accounting period; running the initialization (Accounting – Initialize Next Accounting Period) will ensure that stock cards are created in the new accounting period.
Due to the way stock prices are calculated, the opening stock balance in the new accounting period must be populated before any stock items are used in documents for the first time. It is possible to refine the unit prices afterwards and re-run the initialization. Stock quantities on already created documents cannot be changed.
The Excel import can be performed either in the Inventory – Stock Cards module or in the Tools – Import – Import from Excel – Stock Cards module – How to import stock cards?
Required fields are:
accounting period (in our case 2024);
price list (i.e. the Code/Abbreviation of the price list stock item);
warehouse (Code/Abbreviation of the warehouse)
We also recommend using the following fields:
stock value (CZK);
stock quantity in unit of measure
and any other values as needed.
The import will create warehouse receipts with an issue date of 1/1/2024 (which can be corrected to 12/31/); the average unit price will be calculated from the "Stock Quantity in Unit of Measure" and "Stock Value (CZK)" values. Warehouse receipts have the document status "Non-invoiceable". As the offsetting account, we will again use the bridging account 395xxx.
