Creating a Warehouse
A new warehouse is created in the Warehouses agenda, where you can click the New button to create individual warehouses.
Stock cards are created automatically when you add an item to the price list. However, a newly created stock card has a zero quantity on hand, so you now need to create warehouse documents — goods receipts. These can be entered manually or imported from Excel. This gives you the current stock inventory levels in both quantity and monetary value. Goods receipts should be entered in the preceding accounting period; running the initialization (Period Initialization) will create stock cards in the new accounting period.
Goods Receipt
You can create a single goods receipt with multiple line items, or create several separate receipts. A goods receipt is created in the Receipts/Issues menu by clicking the New button:
Fill in the document type, movement type, warehouse, date, and any other relevant details.
Select items from the price list and enter the quantity to be received into stock. Please note: the item must be marked as a Stock Item in the price list, otherwise it cannot be received.
Warehouse Transfer
Once all goods receipts have been completed, switch to the Period Initialization menu and transfer the closing stock balance as the opening stock balance for the following year.
Due to the way warehouse prices are calculated, the opening stock balance in the new accounting period must be populated before stock items are first used in any documents. You can subsequently refine unit prices and re-run the initialization. It is not possible to change stock quantities on documents that have already been created.
Inventory Import
Excel Import is performed in the Stock Cards module.
The required fields are:
accounting period (in our example, 2017);
price list (i.e., the Code/Abbreviation of the price list stock item);
warehouse (Code/Abbreviation of the warehouse)
We also recommend including the following fields:
stock value (CZK);
stock quantity in unit of measure
and any other values as needed.
The import will create goods receipts with an issue date of 1/1/2021 (which can be corrected to 31/12); the average unit price is calculated from the "Stock Quantity in UoM" and "Stock Value (CZK)" values. Goods receipts created this way have a document status of "Non-invoiceable." Use the bridging account 395xxx as the offset account.
