How to Track Inventory Stock in ABRA Flexi?

Goods – Inventory Cards

Inventory cards are created for each stock item. They provide information about its current values – quantity, price, and movements. They are created based on checking the Stock item flag in the Goods – Price List menu; the Define warehouse location tab must also be filled in for the price list item.

How an inventory card is created

An inventory card cannot be created on its own. It is always derived from the price list and the warehouse list:

  • check Stock item on the price list item,

  • on the Details tab, in the Define warehouse location field, select the warehouses.

For each selected warehouse, one card is created. The relationship is therefore 1 : N — a single price list item can have as many inventory cards as the number of warehouses in which the item is located. Each card has its own stock status and its own price.

If a warehouse in the warehouse list has Automatically add new goods to this warehouse checked, every new stock item is assigned to it automatically. Otherwise, the location must be filled in manually for each item.

Cards can also be created in bulk via import from Excel, usually as a second import right after importing the price list.

ℹ️ An inventory card cannot be created manually. It can only be deleted before the first stock movement occurs on it. All values on the card — i.e., the balance in units of measure, the value in the local currency, the average price, and the opening balance — are merely a result of calculation from documents and cannot be overwritten.

You can access the list in the "Goods" module under the "Inventory Cards" option.

The top toolbar of the table contains a number of buttons, whose meaning is described in a separate chapter, "Program controls". A new card cannot be created here, and an existing card with movements cannot be deleted.

Below the top toolbar with buttons is a filter bar, which you can use to limit the displayed items to a specific warehouse or a specific goods group.

Inventory Card

Confirm the Change button to open the inventory card.

The top toolbar of the form contains a number of buttons, whose meaning is described in a separate chapter, "Program controls".

Price list

This value is transferred from the Goods – Price List menu, from the "Code/abbreviation" field. It can also be changed on this form.

Warehouse

This value is transferred from the Goods – Price List menu, Details tab, from the "Define warehouse location" field. If you have goods in multiple warehouses, multiple inventory cards are created.


"Main" tab

This tab contains basic values from the Goods – Price List menu; other values are updated based on the stock documents created.


The values shown on this tab are in the currency used for accounting.

Name

This value is transferred from the Goods – Price List menu, from the Name field; if you need to edit this field, do so in the Goods – Price List menu.

Issue by expiration

We recommend checking this flag if you will be recording batches and expiration dates for the goods on this card. When the item is saved, the batch and expiration date are then automatically filled in on the "Posting/Details" tab of the issue stock document — always using the batch with the shortest remaining expiration.

Note: If you are issuing a certain quantity of one item from the warehouse but with different batches and expiration dates, you need to create multiple items — the program will not split it automatically according to expiration. In this case, too, the batch and expiration date can be selected manually.

Stock balance in units

This is the current stock balance of the stock item/product in units of measure, calculated from the opening balance and stock documents.

Stock balance [CZK]

This is the current stock balance of the stock item/product in CZK, calculated from the opening balance and stock documents.

Average price [CZK]

If you selected the Average price method for inventory valuation in the company settings, under the "Modules" -> "Goods" tab, then the price shown here is effectively the stock price. The value is recalculated after each receipt.

ℹ️ This field is populated always, even if you have the FIFO method set. However, with FIFO, the calculated average price is not used for the issue document, because it is valued according to the specific linked receipt. The value in this field then says nothing about what price will be used for issuing. This is described in more detail in the article on FIFO relationships.

Opening balance in units

The opening stock balance in units of measure as of January 1 of the specified accounting period; this value is populated after Initializing the next accounting period (module Accounting), when the accounting period is closed and opening balances are set for the new year; if any movement was made during the previous year afterward, this option needs to be run again so that the opening balances are recalculated.

Opening balance [CZK]

The opening stock balance in CZK as of January 1 of the specified accounting period; this value is populated after Initializing the next accounting period (module Accounting), when the accounting period is closed and opening balances are set for the new year; if any movement was made during the previous year afterward, this option needs to be run again so that the opening balances are recalculated.

If you access the inventory card after initializing the next accounting period and there have been no movements yet in the new period, the values in the Stock balance and Opening balance fields will be the same.

Min. stock in units

This value is used in issued and received orders. If you create an issued order from a received order using the "Services" button, the "min. stock" column will display the value that you set here on the inventory card. The minimum stock value is also used when creating an issued order, where using the "Services" -> "Order to minimum" button you create an order so that the minimum stock level is met.

Max. stock in units

This field currently serves only as an optional informational note. It is not yet otherwise used in the program.

Reserved units

An informational value that contains the sum of all reservations for this stock item in the warehouse.

Requested units

A summary of the issue requests on this card that have not yet been issued from stock — i.e., the quantity that has already been invoiced but has not yet been physically issued.

Available quantity

The quantity that can realistically be counted on for further issuance. It is calculated as:

stock balance in units − requested units − reserved units

Date of last movement

The recalculation is always performed as of this date in all items marked with [currency]. This is the most recent issue date of a stock document on this card; a document created retroactively does not reduce it.

Last price [CZK]

This shows the last purchase price in CZK.

💡 If you have the Update purchase price in price list on receipt option enabled in the company settings, this price is also written to the Purchase price field in the price list after each receipt, from where it then feeds into pricing.


"Currency, location" tab

  • The left part of the tab supplements the "Main" tab. If any of your warehouses is kept in a foreign currency, the values in that currency are shown here. Otherwise, the values here match those on the previous tab. The conversion to the currency value is always done using the exchange rate valid for the date in the Date of last movement field on the Main tab. The meaning of the fields is the same as on the Main tab.

⚠️ The values in the currency only make sense if the warehouse is actually kept in a foreign currency and its documents are also recorded in that currency. If you create a receipt in a foreign currency for a warehouse kept in CZK, the values in the currency and in CZK will no longer correspond. The right part of the tab is for informational purposes, showing where the given goods are stored. Use it to select values from the location list:

  • Room, Rack, Shelf


"Note" tab

Note

A field for any additional information.


"Description" tab

A more detailed description of the inventory card; this data is not printed. If you have set up foreign languages in the initial setup, you can fill in the Description field in these foreign languages by pressing the "+" button. Press the "-" button to close the description fields in foreign languages.


"Receipt/issue items" tab

Every movement made via stock documents is automatically saved to this tab.

The top toolbar of the table contains a number of buttons, whose meaning is described in a separate chapter, "Program controls". The Add and Delete buttons are grayed out — meaning that a new receipt/issue document cannot be created here, and an existing one cannot be deleted.

Each row in the table represents one document item.


If you want to view the details of an item clearly, use the Open button. This displays the document item card with all data exactly as it was recorded. You can review this data on the two tabs, "Main" and "Posting/Details".


If you want to view the entire document, use the button. This opens the selected stock document, which you can view, and you can change some values. If you decide to cancel a document opened this way, the program will allow it. The strikethrough for this canceled document will only appear in the table overview after the inventory card is reopened.

Why you might not see a movement in the list

If a movement you created is missing from the tab, it is usually one of these three reasons:

  • Different accounting period. The tab only displays movements from the current accounting period. A movement from a different year will only appear after switching periods.

  • Canceled document. The strikethrough will only appear in the table overview after closing and reopening the inventory card, as described above.

  • Unfulfilled issue request. It has zero in the Quantity column and an accounting value of 0 CZK, so at first glance it looks like an empty row. You can identify it by a positive value in the Requested units column.


"Serial numbers" tab

If you have checked Track serial numbers in the price list, they are tracked on this tab.

The top toolbar of the table contains a number of buttons, whose meaning is described in a separate chapter, "Program controls". The Add, Change, and Delete buttons are grayed out — meaning that serial numbers cannot be added, changed, or deleted this way.

The content of this tab is identical to the "Serial Numbers" option in the "Goods" module, with the difference that this tab only contains the serial numbers for this particular stock item card, and only those that are currently in stock. Each row in the table pertains to one serial number.
