Excel Imports - Introduction

Introduction to the Excel Import Tutorial

Written by Petr Pech

The purpose of this tutorial is to introduce users to working with Excel imports in Flexi. Imports are most commonly used when migrating from another accounting software. This is mainly because XML exported from other software has a different structure than Flexi's XML, and therefore requires a transformation before importing. In contrast, Excel is a spreadsheet where you can easily change cell contents or column order. Working with Excel is therefore generally more user-friendly in this case.

In this tutorial, we will walk through the basic Excel imports. Excel imports are available from the Business edition onward.

If you already have records in the register you are planning to import into, we recommend first exporting the existing records and using them as a template for the import. A video tutorial and information on the general properties of Excel imports are also available on our website.

An overview of registers and their properties can be found at: https://demo.flexibee.eu/c/demo/evidence-list
Clicking on a given machine name in the link above will display the properties of that register.

Excel imports can be found in the Tools module, specifically at Tools -> Import -> Import from Excel.

In the Excel import drop-down list, select the register you want to import into. This list also shows all Excel imports included in your license.

After selecting the target register, you need to choose all the columns you want to import into Flexi.
The order in which you select the columns must exactly match the column order in the Excel spreadsheet, and the data must always be in the first sheet of the Excel file.

The left panel shows the columns available for selection, while the right panel shows the columns already selected. The checkbox in the bottom-left corner lets you specify whether the first row should be ignored — use this when the first row contains column headers.

For some columns, the Excel import requires a specific code list value. Before confirming the import, a selection of the required values for each such column will always be displayed.

For example, the rounding method in Flexi has three possible values — no other value can be used. So if we want to round an invoice amount up, we enter the value zaokrJak.nahoru in the Excel cell.

In the following chapters, we will learn how to import from Excel into these registers:
