This form is used to create analytical accounts only (synthetic accounts are defined by law). The standard chart of accounts is fixed and is loaded based on the organization type — i.e., it differs for businesses and for public-benefit organizations. When a value is selected in the Synthetic Account field, the record header is automatically populated with values in the Account Number field (analytical account; the value can be overwritten) and the Name field, and the Basic Information tab is populated with values in the Account Type and Account Kind fields.
The displayed list shows all accounts that have been created. By default, the basic accounts are set up, and you can rename or delete them using the "arrows" icon. Clicking the "pencil" button takes you to the account detail view, where you can add further information about the account.
Analytical accounts must always be derived from the synthetic structure defined in the standard chart of accounts prescribed by legislation. It is therefore not possible for a balance sheet account to be created as an income statement account, or for an asset account to be created as a liability account, etc. These fields are greyed out and cannot be edited.
Name – enter any account name that has not already been used
Account – enter the analytical account number (no account can be created twice)
Account Kind – populated automatically based on the account's characteristics in the standard chart of accounts
Account Type – populated automatically based on the account's characteristics in the standard chart of accounts
Synthetic Account – select the synthetic account from the standard chart of accounts (e.g., for a cash account this is 211)
Tax – the value of this field is relevant for Account Type = income statement. By checking this field, you define whether the balance on this account belongs to tax-deductible costs and revenues or not. This value is important for users who can then easily identify, when preparing their tax return, which accounts are not tax-deductible.
Balance – select whether this account should be included in the balance
Currency – this field is not populated automatically, which means that accounts are maintained in the currency of the country you set when creating the company. If you manually select a different currency from the currency list for a specific account, that account will be displayed in reports in both currencies.
