The purchase analysis is a powerful tool and aid for retrieving all data related to purchase documents. Just as in the desktop application, the analysis is also available in the web user interface (WUI).
It includes six default analysis types; however, it is possible that none of the default options will suit your needs. Therefore, it also offers the option to create a custom analysis, which can be tailored to your specific analytical requirements.
If you need a specific data analysis that is not available within the standard purchase analysis, have us build a custom query according to your specifications.
The purchase analysis can be found by searching for keywords;
or by browsing within the overview of all agendas.
Once we confirm opening the purchase analysis, the analysis settings panel mentioned earlier will appear. The Analysis Settings field determines how the analysis will be processed.
The six default options are as follows:
Which supplier did I purchase from the most
Which supplier group did I purchase from the most
Which price list group did I purchase from the most
Which goods did I purchase the most
What did I buy from a selected supplier
Who did I buy selected goods from
The key fields of the analysis are the Analyze field and the Break down by field. For the six default settings options mentioned above, these fields are populated automatically.
When using a custom analysis configuration, the values of these fields are defined by you.
For demonstration purposes, we will analyze only the first default option, so we select "Which supplier did I purchase from the most".
We can also choose from a range of additional options:
Document dates - Determines which date will be used for the document when it is included in the analysis.
Document issue/posting date - The date range for which you want to analyze documents. This is linked to the document dates above. You can choose between year and month, accounting period and month, common selections, a date range, and the last X days.
Cost center - Determines which cost center the analysis should cover. Leaving the field empty includes all cost centers.
Include non-catalogue items - A toggle that determines whether price list items are included in the analysis. Useful when analyzing stock movement.
Include non-accounting documents - A toggle that determines whether non-accounting documents are included in the analysis. Non-accounting documents refer to non-accounting document types — such as advance invoices and proforma invoices.
Once the settings are configured to your requirements, you can confirm the analysis generation by clicking the Analyze button.
The output above shows the purchase amounts for two companies:
ARIT s.r.o. - Purchases from this company totalled CZK 267,123.23.
ABRA Software a.s. - Purchases from this company totalled CZK 164,173.55. By comparing this with the selling price, the expected profit can be calculated.
The purchase analysis output contains a large number of columns. Many of them are not relevant for every type of analysis.
The columns in the output can be customized to suit your needs, just as in any other agenda. You can freely reorder them, hide them from the overview, or display them as needed. By right-clicking on the column header, you can easily access the column settings.
Below are explanations for several important columns:
Total excl. VAT - The total purchase value for the given supplier. The field value is affected by the analysis generation method.
Discount - The total discount value on purchase documents. Displayed in the analysis both as an amount and as a percentage.
Selling price - The selling price of the purchased items.
Total UoM - The number of units of measure for items that were purchased. Useful when analyzing stock movement.
