Inventory Functions - Listing Items with Negative Values (GUI)

Non-standard warehouse function - when should I use it and where can I find it?

Written by Petr Pech

In rare cases, a negative value may appear in the Stock Status UOM column on a stock card. Under normal circumstances, this should not occur.

For these cases, there is a function that identifies items with a negative balance. It can be found within the stock cards.

When running this function, you must always be in the period from which you want to list the items.

Example of how a negative balance can occur – Case 1

1. I perform an initialization from 2018 to 2019; the stock card shows a positive balance of 10 units (in both periods)
2. In 2018, I issue 10 units
3. In 2019, I issue 10 units
4. I perform the transfer from 2018 to 2019 again; the stock card now shows a balance of -10 units in 2019

A negative stock balance can be corrected by receiving the appropriate number of units.

This can occur, for example, through a retroactive inventory count as of 31.12.20xx at a time when there is already an issue in the following year, which — after generating the inventory difference — results in a negative balance.

Example of how a negative balance can occur – Case 2

Into an issue slip that generates an issue request (i.e., the number of UOM is in the Requested UOM column), a positive value is inserted via API into the Quantity column. As a result, the stock card will show a negative balance in the Stock Status UOM column.

Under normal circumstances, a value is entered into the Quantity column only upon a subsequent receipt that settles the request.

Note
The list of items with a negative balance is not a standard feature. To activate it, please contact the sales department (371 124 321; obchodflexi@abra.eu).

If you are unable to run the feature from within the application, it can also be executed directly in the database.
