Vacation During Maternity Leave

Vacation entitlement during maternity and parental leave

Written by Lenka Haringerová

If an employee goes on maternity leave, she continues to accrue standard annual leave entitlement during this period, as if she were still working. Generally, upon returning from maternity leave, the employee takes all annual leave she has accrued up to that point. After using up her annual leave, she typically proceeds to parental leave, during which no further annual leave entitlement accrues.

In Flexi, it is therefore necessary to correct the leave entitlement so that unused days are not displayed on the payslip.

Example: An employee started maternity leave on 1 January 2018 and takes it through 16 July 2018. Her standard annual leave entitlement is 25 days. During maternity leave, she accrued a proportional entitlement for January through July — 14 days. She uses these immediately after maternity leave ends and has no entitlement to further annual leave until parental leave concludes. Flexi will not reduce the entitlement automatically, so it is necessary to go to Payroll Update — Work Time Fund tab, add the LEAVE CORRECTION wage component, enter the number of days by which you want to reduce the leave entitlement as a negative value, check the User Time Change field, and then recalculate the payroll. The correction will be visible on payslips through the end of 2018.

At the beginning of the following year (2019), during which parental leave continues, remove the leave entitlement from the HR module, where it is recorded under the employment record.

When the employee returns to work, re-enter the leave entitlement in the HR module and handle any proportional portion using the LEAVE CORRECTION wage component.
