Company Settings

Written by Zuzana Sýkorová

First, it is necessary to fill in the basic company settings – the company name, registered office address, postal address (in case the registered office address differs from the delivery address), billing address (in case the registered office address differs from the delivery address), and other contact details (phone, mobile, fax, email, website), file reference number, name and position of the authorized person, and the representative's code and name.

This is where you configure whether the company is a VAT payer, which languages you need the application to communicate with you in. You can also set the dual currency, VAT Return details – tax office and predominant activity, the method for updating daily or annual exchange rates for foreign currency conversion, as well as parameters for using a barcode (EAN) reader. You can attach your company logo and signature and stamp – details that are printed on documents.

The settings also determine how the application behaves in individual modules – for example, which method you want to use for inventory valuation, whether you need to allow negative stock levels, whether you want to automatically create a reservation when an item is ordered, and whether you want to allow reservations into negative quantities. For users of the "Employees" module, there is an important tab here where a number of key payroll and mandatory insurance calculation settings are configured.

If you require change history tracking during accounting, you can activate the change log in the settings.

The "Settings" dialog is available when creating a new company, as well as in an already created company, so that data can be added, updated, and corrected.

For the reasons described above, the "Settings" dialog can be opened in several ways:

  • on first launch of the application, by proceeding through the "Company Login" dialog to the "Select Company" dialog. By confirming the "Create New Company" action, you launch the "Create New Company" dialog, where by clicking the "Create Company" button, entering the company name, confirming it, and clicking the "Fill in Company Settings" button, you open this dialog. This is how you configure data for a newly created company; if you need to add or correct information later, choose one of the last two options listed below.

  • on a subsequent launch of the application, by selecting "Create New Company" in the "Select Company" dialog, which launches the "Create New Company" dialog, where by clicking the "Create Company" button, entering the company name, confirming it, and clicking the "Fill in Company Settings" button, you open this dialog. This is how you configure data for a newly created company; if you need to add or correct information later, choose one of the last two options listed below.

  • while the application is running, by selecting "Create New Company" from the "Company" menu, which launches the "Create New Company" dialog, where by clicking the "Create Company" button, entering the company name, confirming it, and clicking the "Fill in Company Settings" button, you open this dialog. This is how you configure data for a newly created company; if you need to add or correct information later, choose one of the last two options listed below.

  • while the application is running, by selecting "Settings" from the "Company" menu, which opens this dialog.

  • the quickest method – while the application is running, by clicking the company name in the top navigation header, which opens this dialog.

Accounting Period: In this dialog, you can also modify and create accounting periods. This topic is covered in a dedicated chapter.

Settings valid from date: When a company is created, an "initial settings" record is generated.

  • If you fill in or change data in the tabs below and confirm with the button, the Create/Update Settings dialog will appear. You can read about its purpose in the dedicated chapter.

  • If the dialog did not appear after clicking the button, no changes were made to the settings.

  • If you click the "Cancel" button, all data you entered in this dialog since it was opened will be discarded.

The "Settings" dialog is also the first step in the "Company Setup Wizard". It is completed in the same way – using the same tabs – with the only difference being that if you confirm this dialog independently using the button, you will not be taken to the next step of the Wizard; instead, the dialog will simply be saved.
