How to track inventory stock in ABRA Flexi?

The values on this form are created based on the price list item and cannot be edited.

Goods – Stock Cards

Stock cards are created for each stock item. They provide information about its current values – quantity, price, and movements. They are created by checking the Stock item flag in the Goods – Price List menu; in the price list item, you also need to fill in the Define warehouse location tab.

You can open the list in the "Goods" module under the "Stock Cards" option.

The top toolbar contains a number of buttons whose functions are described in the separate chapter "Program Controls". The New and Delete buttons are grayed out – this means that a new card cannot be created here, and an existing card cannot be deleted.

Below the top toolbar is a filter bar, which allows you to restrict the displayed items to a specific warehouse or a specific goods group.

Stock Card

By clicking the Edit button, you open the stock card.

The top toolbar of the form contains a number of buttons whose functions are described in the separate chapter "Program Controls".

Price List

The value is transferred from the Goods – Price List menu from the "Code/abbreviation" field. It can also be changed on this form.

Warehouse

The value is transferred from the Goods – Price List menu – Details tab from the "Define warehouse location" field. If you have goods in multiple warehouses, multiple stock cards are created.

Tab "Main"

This tab contains basic values from the Goods – Price List menu; other values are updated based on the stock documents created.


The values shown on this tab are in the currency in which the accounting is maintained.

Name

The value is transferred from the Goods – Price List menu from the Name field; if you need to edit this field, do so in the Goods – Price List menu.

Issue by expiry

We recommend checking this flag if you will be entering batch numbers and expiry dates for goods on this card. When saving an item in an outgoing stock document in the "Accounting/Details" tab, the batch and expiry date are then automatically filled in – always selecting the one with the shortest expiry date.

Warning: If you are issuing a certain quantity of one item from the warehouse with different batch numbers and expiry dates, you must create multiple line items – the program will not split them automatically by expiry date. In this case, the batch number and expiry date can still be selected manually.

Stock quantity (UoM)

This is the current stock level of the stock item/product in units of measure, calculated from the opening balance and stock documents.

Stock value [CZK]

This is the current stock value of the stock item/product in CZK, calculated from the opening balance and stock documents.

Average price [CZK]

If you have selected the Average cost method for inventory valuation in your company settings under the "Modules" -> "Goods" tab, the price shown here is essentially the stock price. The value is recalculated after each goods receipt. If you have selected the FIFO method, this value is not used.

Opening balance (UoM)

The opening stock balance in units of measure as of January 1 of the specified accounting period; the value is populated after the Initialization of the next accounting period (the Accounting module), when the accounting period is closed and opening balances are set for the new year; if any further transactions were made in the previous year, you must run this option again to reset the opening balances.

Opening balance [CZK]

The opening stock balance in CZK as of January 1 of the specified accounting period; the value is populated after the Initialization of the next accounting period (the Accounting module), when the accounting period is closed and opening balances are set for the new year; if any further transactions were made in the old year, you must run this option again to reset the opening balances.

If you access the stock card after initializing the next accounting period and there are no transactions yet in the new accounting period, the values in the Stock quantity and Opening balance fields will be the same.

Min. stock (UoM)

This value is used in sales and purchase orders. When creating a sales order from a purchase order using the "Services" button, the minimum stock level column ("min. stock") will display the value you set here on the stock card. The minimum stock value is also used when creating a sales order, where using the "Services" -> "Order to minimum" button generates an order to replenish the minimum stock level in the warehouse.

Max. stock (UoM)

This field currently serves only as an optional informational note. It is not yet used further in the program.

Reserved (UoM)

An informational value that contains the sum of all reservations for the given stock item in the warehouse.

Date of last movement

All items marked with [currency] are recalculated as of this date.

Last price [CZK]

This field displays the last purchase price in CZK.

Tab "Currency, Location"

  • The left section of the tab supplements the "Main" tab. If any of your warehouses is also maintained in a foreign currency, the values in that currency are shown here. Otherwise, the values here are identical to those on the previous tab. The conversion to the currency value is always performed using the exchange rate applicable on the date in the Date of last movement field on the Main tab. The meaning of the fields is the same as on the Main tab.

  • The right section of the tab provides information about where the given item is stored. Use it to select values from the location list:

Room, Rack, Shelf

This is how you specify where the given item is located.

Tab "Note"

Note

A field for any information.

Tab "Description"

A more detailed description of the stock card; this information is not printed. If you have set up foreign languages in the initial configuration, clicking the "+" button allows you to fill in the Description field in those foreign languages. Clicking the "-" button closes the description fields for foreign languages.

Tab "Receipt/Issue items"

Every movement made via stock documents is automatically saved to this tab.

The top toolbar contains a number of buttons whose functions are described in the separate chapter "Program Controls". The Add and Delete buttons are grayed out – this means that a new receipt/issue document cannot be created here, and existing ones cannot be deleted.

Each row in the table represents one document line item.


If you want to view the details of a line item, use the Open button. The item card will then be displayed with all the data as it was entered. You can review this information in the two tabs "Main" and "Accounting/Details".


If you want to view the entire document, use the button. The selected stock document will then open, allowing you to view it and change certain values. If you decide to cancel (reverse) the document opened this way, the program will allow it. The cancellation of the reversed document will be reflected in the table overview only after reopening the stock card.

Tab "Serial numbers"

If you have enabled Track serial numbers in the price list, they are tracked in this tab.

The top toolbar contains a number of buttons whose functions are described in the separate chapter "Program Controls". The Add, Edit, and Delete buttons are grayed out – this means that serial numbers cannot be added, changed, or deleted this way.

The content of this tab corresponds to the "Serial numbers" option in the "Goods" module, with the difference that this tab only shows the serial numbers for the given stock card item that are currently in stock. Each row in the table refers to one serial number.
