🏛️ Company – Menu

The Company module contains the core settings for the entire Flexi system.
It is especially critical during initial setup, as the individual options in this module determine the behavior of all other modules – accounting, finances, warehouses, purchasing, sales, payroll, production, and more.


🌐 About Flexi

Flexi is a modern business management system that supports:

  • accounting,

  • invoicing management,

  • warehouse management,

  • production,

  • payroll,

  • business relationship tracking,

  • and many other functions.

You can access your data from anywhere – from a desktop computer, laptop, iPad, iPhone, or Android device.

When using the cloud version, your data is securely stored on a server, regularly backed up, and protected against theft or loss.

Flexi fully supports various operating systems (Windows, macOS, Linux), which can be used in any combination.


🛠️ Initial System Setup

Before you start working, it is important to pay attention to module configuration, as all modules are interconnected and affect one another.

Creating a Company on First Launch

When creating a new company, you only need to enter basic information:

  • company name,

  • country,

  • organization type,

  • accounting period (calendar year / fiscal year).

Additional details can be filled in at any time in the Company → Settings module.


🏢 Company – Menu: Feature Overview

The Company module contains key forms for managing company information, accounting periods, and system behavior.

🆕 Create New Company

Company → Create New Company

Used to create a new company using a wizard.
Steps:

  1. The system notifies you that any open forms must be closed.

  2. Confirming Yes launches the company creation wizard.

  3. Complete each step using the Previous and Next buttons.

🔄 Select Company

Company → Select Company

If you have multiple companies in the system, you can switch between them.

Steps:

  1. A prompt appears: Do you really want to log out of this company?

  2. After confirming Yes, the list of companies opens.

  3. Select the desired company and click Select Company.

🧭 Company Setup Wizard

Company → Company Setup Wizard

Helps you configure all the important items needed to work in the Flexi system.
Primarily intended for initial configuration, but items can also be filled in later directly within the individual modules.

Company → Settings

The main form containing all key company information:

What can be configured:

  • contact details and legal information,

  • VAT registration status,

  • currency and language,

  • behavior of individual modules (e.g. warehouse, VAT, invoicing),

  • exchange rates and their calculation,

  • company logo,

  • legislative parameters,

  • automatic operations.

Tabs in the Settings form:

  • Company

  • Details

  • Legislation

  • Modules

  • Automatic Operations

  • Other

At the top of the form, there is a "Settings valid from" list, which allows you to track configuration changes by date.

📅 Change or Add Accounting Period

Company → Change or Add Accounting Period

This form is used to:

🔎 Important: The year shown in the header does not mean that documents will only be posted to that period. What matters is the document issue date.

Options:

  • switch using the accounting period list,

  • navigate to Accounting Period Management,

  • confirm with OK or cancel the selection.

🔒 Period Locking

Company → Period Locking

Used to restrict user access to selected modules or forms within a specific time period.
Particularly useful when closing an accounting period.

🔎 Note: Changes to commercial documents can still be made even within a locked period.

💾 Company Backup

Company → Company Backup

Allows you to manually create a backup of your company data.

Options:

  • availability depends on user permissions,

  • the system also prompts you to create a backup when logging out,

  • you can use automatic backups for a larger number of companies.

🚪 Exit Application

Company → Exit Application

Used to log the user out of the system and close the application.
Each time, the system asks whether you want to create a backup before exiting.

Exit options:

  • Yes – creates a backup and exits the application,

  • No – exits the application without a backup,

  • Cancel – returns to the system.

The application can also be closed by clicking the X button in the top right corner.
