As of version 2021.3.0, Flexi includes a new feature called "Reduce vacation for unexcused absence". This feature can be enabled in the company settings under the Modules – Employees – Other tab.
The reduction is applied only when the total number of unexcused absence hours is an exact multiple of the daily working hours commitment. The daily working hours commitment can be checked or configured in the HR menu under the Employment – Work Commitment tab.
If this feature is enabled during the year, unexcused absences and any full multiples of daily work commitments that occurred before the feature was turned on will also be taken into account.
Once this feature is enabled, you can add the Unexcused Absence component in the payroll update under the Update Absences menu, and then select Recalculate Payroll.
You will now notice that a new row has appeared on the Working Time Fund tab, titled Vacation Deduction for Unexcused Absence, which shows the number of hours calculated. At this point, the vacation entitlement has been reduced accordingly.
A new row, Unexcused Absence, has also been added to the Absences tab, showing the number of hours and days as well as the start date of the absence:
In the case of an irregular employment arrangement, you must make a manual user change to the number of hours for the Vacation Deduction for Unexcused Absence component during the first payroll calculation. This user change can be made in the payroll update under the Absences tab, where you click the Change button on the Unexcused Absence row, adjust the number of hours or days, and check the User Time Change checkbox. Then select Recalculate Payroll again and the vacation reduction will be recalculated.
Any further adjustments to the behavior can be made by correcting the hours of the above-mentioned component.
