How to Create an Excel Import File – Web Interface

In ABRA Flexi, data can be imported both via the desktop application and the web interface. However, the process for the web interface differs — so it is necessary to prepare the data file in a different way than for the desktop.

In this article, we will walk you through how to prepare and perform an Excel import into the web interface, step by step.

Preparing the file for import

The easiest way to find out the correct value formats for individual fields is to perform an export of data. The export will show you how values need to be written for a successful import.

  1. Open the agenda from which you want to export data (e.g., Received Invoices).

  2. In the document list, select what you want to export (using the checkboxes).

  3. Click the three dots (More options) in the bottom menu.

  4. Select Export / Import → Export to Excel (for re-import into Flexi).

This will create an Excel file showing the default column structure.

Tip: If you need more columns, you can add them via the Settings option in the bottom-right corner of the list.

Example:

  • Here you can see that, for example, column "K" for payment status must be entered in the format: stavUhr.stavDokladu.

Importing data into the web interface

Once your Excel file is ready, you can proceed with the actual import:

  1. In the relevant agenda, click the three dots (More options).

  2. Select Import from Excel.

  3. A dialog will open where you specify whether each row in the file corresponds to:

    • an entire invoice, or

    • a line item of a document.

  4. Drag and drop the prepared Excel file into the designated field.

Flexi will display a table with the individual values. For some columns, you may need to complete or clarify the field mapping. If you leave a column mapping field empty, the data will not be imported and Flexi will ignore it.

Tip: If any value is missing from the file, you do not need to stop the import. The value can be entered manually directly in the table before confirming the import.


Reviewing and confirming the import

  1. After completing the column mapping, click Test import.

    • A summary table will be displayed showing:

      • new records,

      • changes,

      • any errors.

      • For verification, you can compare the counts of new or changed records.

  2. If everything looks correct, confirm by clicking the Import button.

  3. Flexi will then confirm that the import has been completed successfully.
