Setting Up, Use Case Examples for Bill of Materials, and Kits & Bundles in the Web Application

Warehouse mapping allows you to specify the warehouse from which an item contained in a bill of materials or a kit will be issued.

This feature is used in two scenarios:

1) During production using a bill of materials (when a finished product is received into stock, the relevant materials are issued from the warehouse defined in the warehouse mapping)
2) When selling a kit (the corresponding kit components are dispatched from the warehouse defined in the warehouse mapping)

How to set up warehouse mapping correctly?

You can find Warehouse Mapping in the overview of all modules, under the Records/Codebooks/Goods/Warehouse Mapping tab, or by searching for the keyword Warehouse Mapping.

It is worth reiterating that warehouse mapping is used to define the warehouse for the relevant items. Relevant items refer to bill of materials items (materials) or kit items (components).

After opening the module, click the New button to open the form for a new warehouse mapping record.

This record defines where the items (materials) of the bill of materials or the items (components) of the kit are located, and it is divided into three sections.

Warehouse
Specifies the warehouse where the items matching the conditions defined below are located.

Price list
If the mapping applies to a single specific item, enter that item here. If it applies to a group of items (not just one item), leave this field empty.

Product group
Enter the product group to which this warehouse mapping applies. The mapping will be applied to all goods that belong to the group.

Cost center
If your company is divided into cost centers, specify here which cost center this mapping is valid for. Leaving the field empty means the mapping applies to all cost centers.

Let's look at two usage examples — one for a bill of materials and one for kits and bundles.

Bill of Materials

Suppose we have a bill of materials for a product set up as follows. The bill of materials screenshots are from the desktop application; the bill of materials is not yet available in the web interface.

This is the product FRONT WHEEL, which consists of the following materials:
RIM (1 pc); HUB (1 pc); SPOKES (32 pcs)

All materials belong to the product group MATERIAL and are stored in the PLZEŇ warehouse, which is a different warehouse from the one where the finished product will be received. For a bill of materials, warehouse mapping is particularly useful when the materials are stored in a different warehouse than the one where the finished product will be received.

We will set up the warehouse mapping as follows.

Goods in the Material group are located in the PLZEŇ warehouse. The company is not divided into cost centers, so the cost center field is left empty.

The warehouse mapping is now ready and, provided there is sufficient material in stock, we can proceed with production.

We create a goods receipt with the item FRONT WHEEL and set the movement type to Product Receipt (this is the key information for Flexi during production). For more information, refer to the bill of materials guide.

When the goods receipt is saved, and provided the document type is configured correctly, a material issue note will be created from the warehouse specified in the warehouse mapping — in our case, the PLZEŇ warehouse.

Kits and Bundles

Suppose we have a kit called CAMERA KIT set up as follows. For more information on setting up kits and bundles, see here.

The first item, NIKON, belongs to the product group CAMERAS and is stored in the PLZEŇ warehouse.

The second item, SD, belongs to the product group SD CARDS and is stored in the LIBEREC warehouse.

Warehouse mapping will therefore need to be configured separately for each item. We create two records as follows.

With this configuration in place, we can proceed to sell the kit by creating a sales invoice.

Provided the invoice type is configured to automatically create a warehouse document, an issue note will be generated from two warehouses.
