What is a credit note?
A credit note, or corrective tax document, is used to correct issued invoices when it is necessary to adjust the tax base or the tax itself.
In practice, it is used, for example, in a claim involving the return of goods (or a return of goods in general).
How do I create a credit note in ABRA Flexi?
A credit note can be created for both issued and received invoices. The procedure is completely analogous in both cases, so we will demonstrate it only for an issued invoice.
There are two ways to create a credit note - using services on the relevant invoice, or manually.
Creating a credit note via "Services"
To create a credit note, we select the invoice for which we want to create it. Then we click the "Services" button and choose "Create credit note".
Clicking on the option mentioned above opens the credit note creation form. Here we can select which invoice item we want to credit.
If we want to credit everything, we leave the quantities unchanged.
In the next step, simply select the invoice type with the type "Credit note/corrective tax doc." and confirm the creation.
If you don't have such a type available in invoice types, you can simply create one in the invoice type settings. The key information is its type - "Credit note/corrective tax doc.".
After confirming the credit note creation, the credit note will be created. It will contain exactly the items you selected in the creation form and will be recorded with a negative quantity on the document.
If the credit note type automatically generates a stock movement (this can also be set directly in the type, as shown in the screenshot above), a goods receipt (in the case of an issued invoice) or a goods issue, or a negative goods receipt (in the case of a received invoice), will be generated.
Note:
Creating a credit note via services is only possible for itemized invoices. If it is a non-itemized invoice, the only option is to create the credit note manually and link it to the invoice.
Creating a credit note manually
The second way to create a credit note is manual creation. It can be created in exactly the same way as any other invoice.
It is important to select the correct document type, i.e., the one with the aforementioned type "Credit note/corrective tax doc.", and to have the amount entered as a negative value.
If we have created a credit note this way and it should belong to a previously created invoice, we can link it to the invoice.
In the invoice overview, simply select it (using the checkbox on the left).
Then, via "Services", choose the option "Create/cancel credit note link".
After selecting this option, simply select the relevant invoice and confirm the creation of the link.
The actual creation of the link can then be checked using the "Links" button in the agenda's header.
