Loading Bank Statements and Matching Transactions with Documents - WUI

How do I import a bank statement in the web interface and match individual transactions with the corresponding documents?

Through the web interface, you can import bank statements, which will create individual bank transactions upon import.

These can then be matched manually, in bulk, or automatically.

All supported banks with information about supported formats and more can be found on our website.

Importing Bank Statements

Before you start importing bank statements, you need to complete the required settings at the bank account level.

Full details on the configuration can be found in our documentation.

The key details required when setting up a bank account are:

  • Name and code

  • Bank account number and bank code (must match the statement)

  • Document series

  • Electronic banking (format, statement file extension, and duplicate check)

    • For FIO Bank, tokens must be filled in.

Note

In the desktop application, predefined folders (i.e. paths to statements) on your PC are used to import statements. Details on the configuration can be found here.

Once all the necessary settings are in place, you can proceed to import a statement. This can be done in two ways — manually and online.

Manual Statement Import

When you switch to the "Bank" module, you will find the import option among the available functions at the bottom — under the "Bank Statements" button.

Clicking the button mentioned above will display three available options.

To import a statement manually, select the first option: "Import bank statement from file". In this dialog, choose the bank account and drag the file (i.e. the statement) into the field below, or click the field to select the relevant file (i.e. the statement).

You can also import multiple statements at once — simply drag or select more than one statement file into the import field.

An added benefit is the ability to automatically trigger automatic matching after the statement is imported. This ensures that bank transactions are matched with the corresponding documents based on the specified criteria (e.g. by variable symbol and amount).

You can also specify whether any difference should be posted or ignored.

Once the bank statement import settings are configured as needed, you can start the import by clicking the "Import" button.

The result is then reflected in a notification in the bottom-left corner.

In a single step, you can therefore both import and match statements through the web interface.

Online Statement Import

This option is currently available on our end for FIO Bank only.

If you use FIO Bank and have the tokens filled in on the bank account, you can import statements online.

If a valid token is entered for the bank account, the statements will be imported successfully. In this case, matching must be started manually.

Online statement import from other banks or payment gateways is available through a tool provided by our development partner, Dativery.

Document Matching

In general, documents can be matched in only four ways:

Manual Matching

When viewing a bank transaction and you want to match it with one or more invoices, you will find this option among the functions in the record detail.

A table will open showing all invoices available for matching. Invoices are searched primarily by company, variable symbol, and transaction type.

Once you find the invoice you want to match with the bank transaction, select it on the left side and confirm the payment.

Multiple invoices can also be paid at once — if the bank transaction amount covers several documents, you can select more than one.

ABRA Flexi will then inform you whether the matching was completed successfully.

You can also cancel a payment if needed — in the same place where the payment option is located.

Automatic Matching

The option to automatically match bank transactions with individual documents can be found in the Bank module under the same button as the statement import — "Bank Statements".

After opening the automatic matching wizard, you can choose how you want the matching to be performed and the period over which it should be applied.

The most common matching method is typically by variable symbol and amount in the current period.

Once the settings are configured as needed, you can start the automatic matching.

The result will then display information about the success of the matching along with the number of matched documents;

or a message indicating that no documents suitable for matching were found.

Whether a given bank transaction has been matched can be checked using the "Resolved" column.

For an invoice, its payment status can be found in the "Payment Status" column.
