In this article, we will show you how to handle warehouse accounting in the web interface.
Posting Warehouse Movements
This chapter is intended for users who use Method A for inventory tracking (i.e., they post warehouse receipts and issues). If you track inventory using Method B, warehouse movements will not be entered into your accounting. For posting warehouse movements (receipts and issues), you can pre-configure the posting rules in several ways. If you do not need to differentiate posting by inventory type (materials, goods, etc.), you can set up the posting rules directly on the document type in the Warehouse Document Types menu:
Here, on the document type detail, you can set up the posting rule for issues and receipts, thereby defining the inventory acquisition account (e.g., 131, 111, etc.).
The offsetting account — i.e., the inventory stock account — is managed in the Warehouse List menu:
In practice, however, accounts are usually differentiated by inventory type. These types can be defined in the Goods and Materials Groups menu. A basic classification might include, for example, services, goods, and materials.
The posting rules are then configured for each group separately:
Here you configure the accounts for individual operations — for example, for issued invoices, for warehouse issues, etc. The inventory stock account (e.g., 132) is set up in the same way as described above, in the Warehouse List menu.
The goods and materials group also needs to be assigned to price list items in the Goods – Price List menu.
Now, whenever an item from a given group is selected, it will automatically be posted to the pre-configured account.
Verifying Warehouse Posting
If you need to check whether your inventory balances on warehouse accounts match the inventory records in your accounting, several reports are available.
The balance on a warehouse account (e.g., 132) can be found via Accounting – Accounting Outputs – Account Movements or the Trial Balance.
This balance will then be compared against the warehouse stock level, which you can check via Goods – Warehouse Status as of Date, where you enter the date to which you want to compare the balances.
This menu allows you to select one warehouse at a time. If you have multiple warehouses, you will need to run the report separately for each one.
If you want to see the combined status of all warehouses at once, you can use the Totals function in the Goods – Warehouse Cards menu:
If the warehouse balances do not match, something will have been posted incorrectly or not posted at all. You will therefore need to review the individual movements and verify that the correct accounts have been filled in everywhere.
