This article provides instructions on how to create an Excel file with inventory items that can be uploaded through the web interface. Inventory items can be imported via Excel only in the web interface; importing from Excel is not available in the desktop application.
By importing from Excel into inventory items, you can create new items as well as update existing ones.
To get started, we recommend first reading the article on Excel imports in the web interface.
Inventory
As with document records in Flexi, importing inventory items requires that an inventory header already exists. You can find out how to create such an inventory header in our guide.
The header should include at minimum the start date and the status of the inventory. The inventory type (i.e., its name) is optional.
Inventory Items
For the actual import of inventory items, only the following three columns are required. The machine names of the columns are shown in parentheses. If the columns in your Excel file are named accordingly, they will be automatically identified during import.
It is essential that the import is performed from within the inventory itself (in the items section).
Price list code (cenik)
References the code (identifier) of the price list item.
Warehouse code (sklad)
References the code (identifier) of the warehouse.
Note: Based on the selected price list item and warehouse, the corresponding stock card will be selected automatically in the background.
Actual quantity (mnozMjReal)
Specifies the quantity that is physically in stock.
Subsequent document generation produces the difference between the system quantity (what is recorded in Flexi) and the actual quantity.

In the web interface, it is of course possible to add more columns. However, the easiest way to determine the format of individual fields is to use the Export to Excel function for all required columns in a format suitable for import into Flexi.

Importing Inventory Items
We will now walk through importing a file that contains new inventory items. If you want to modify existing items, use the ID field (or column).
The option to import inventory items can be found in the items section within the inventory detail view. You can see exactly where in the screenshot below.
The import must be performed from within the inventory, not from the inventory items agenda.
The Excel import provides a file selection window that you can click to browse for a file. You can also drag and drop the file into the same field.
The Excel file should be structured in the following format:
Once your Excel file is set up this way, drag it into the import field mentioned above. Thanks to the correct column naming, Flexi will automatically identify the columns.
All that remains is to run a test import. This is a "dry run" import where nothing is actually imported yet, but you will be notified of any errors in the import.
You will always be informed of the test results as shown above. If everything looks good, only one step remains — the actual live import.
The import result looks the same as the test run. The difference, however, can be seen in the newly imported inventory items (on the left side).
Once the inventory items have been imported, you can proceed to the next steps that follow the import. These may include updating system quantities and generating inventory discrepancies. For more information, see our guide.
