User access in ABRA Flexi is set up in two complementary layers. User roles determine which modules a user can access at all. Data visibility permissions then determine, within an accessible module, which specific records the user can see.

User roles
Roles represent the horizontal division of access — they determine where a user can go. You'll find them in the desktop application under Tools → User roles. Several roles are predefined (warehouse worker, accountant, administrator, and others). Predefined roles cannot be edited, but you can create your own by copying them.
For each module, you choose one of four options:
Full access — the user can create, edit, and delete records
Read only — the user can view records but cannot change them
Inaccessible — the user won't see the given section at all
Refine access — finer settings, such as allowing new invoices to be created while disallowing editing or deleting existing ones, or hiding purchase prices
Once a role is set up, you assign it to a user under Tools → Users in the company in the User role field.
💡 Never build a custom role from scratch. Copy the predefined role that best matches what you need, and remove permissions rather than add them — see the guide on creating a custom user role.
Data visibility permissions
Data visibility permissions represent the vertical division of access — they determine which records within an accessible module a user can see. They are set individually for each user under Tools → Users in the company, on the user's detail page, on the Login credentials tab, using the Data visibility permissions button.
This way, you can grant a warehouse worker access to only a specific warehouse, a salesperson access to only a selected type of issued invoices, or an accountant access to only certain bank accounts. For a detailed description with examples, see the guide on data visibility permissions.
⚠️ This feature is part of the Premium plan. In the Basic and Business licenses, you won't find the Data visibility permissions button on the user's detail page — access there can only be set using user roles.
By combining both layers, you can define access for each user precisely according to your company's needs.
