Settings and Description of Data Visibility Permissions

Data visibility rights are only visible to users who have a PREMIUM account license. These are rights that allow you to further restrict data visibility for your employees. You can find these rights in the Tools module - Users in the Company. Rights are configured individually for each user (they cannot be preset in bulk). You can access this feature by opening the edit view of one of your users:

Data visibility rights do not allow you to restrict access to individual modules, but they do allow you to restrict the visibility of Document Types, Posting Templates, other users' work, and so on. They are therefore used to adjust the visibility of data within a module that has been made accessible to the user through user roles.

Example: The user senior_ucetni does not want junior_ucetni to be able to edit documents created by senior_ucetni. For the user junior_ucetni, we click the Data Visibility Rights button. A table opens:

Here we can see the individual modules. Let's click on Sales - Issued Invoices, for example:

The available options now appear for us to configure. If we want junior_ucetni to only create invoices and be able to view advance payments, but not have the right to create a credit note, a VAT correction document, or other document types, we simply adjust their rights for the respective document types:

Notice that the document type junior_ucetni is allowed to edit — INVOICE — is displayed in bold. The advance payment type, which they may only view, appears in plain black text, while all other document types are shown in grey, meaning they are inaccessible. If we log in as junior_ucetni and attempt to create an issued invoice, only one document type will be offered for use:

At the same time, this user can only see invoices of the Type INVOICE and ADVANCE PAYMENT (however, they cannot create or edit an advance payment).

It is also possible to restrict the visibility of documents created by other users:

Junior_ucetni

  • can view and edit invoices they created

  • can view, but cannot edit, invoices created by senior_ucetni (only the INVOICE and ADVANCE PAYMENT types will be displayed based on the previous settings — other document types such as VAT correction documents, credit notes, etc. will not be visible)

  • will not see documents created by the users zsykorova and sklad1 at all

Another option is to restrict document series:

Junior_ucetni

  • may use and edit the FAKTURA-STANDARD document series

  • can view the ADVANCE PAYMENT document series

  • will not see the KASA document series

You can also configure individual posting templates for a user:

Junior_ucetni

  • may use and edit posting templates for revenue from materials and goods

  • can view the posting template for advance payments, but may not edit it

  • cannot view posting templates designated for revenue from services
