As an introduction, it is worth mentioning that this procedure can also be applied to other code lists, such as business partners, document types, or countries. If a record cannot be deleted, it is possible to set a validity restriction on it.
Most commonly, however, you will encounter this situation in the price list. We will therefore demonstrate the procedure for restricting the validity of a record in the price list — both for the desktop application and the web application.
Restricting Record Validity in the Desktop Application
As mentioned above, the demonstration will be based on the price list. Open the detail of the relevant item in the price list ("Goods – Price List").
In the price list detail, you will find the validity restriction option on the "Administration" tab.
The validity restriction can be set by entering a value in the "Valid Until" field corresponding to the year (or accounting period) up to which the item should appear in the price list. The item will no longer appear in the following period.
A value of 9999 means unlimited validity.
By saving the price list with the value set above, you ensure that the item will no longer appear in the price list from 2024 onwards. It will therefore not be possible to add the item to documents or otherwise work with it in that period. To work with the item, you would need to switch back to the year 2023.
Restricting Record Validity in the Web Application
In the web application, the principle is the same as in the desktop application. Switch to the price list (for example, using the search) and open the detail of the relevant price list item.
If you cannot find the validity field, it may be hidden in the price list form. In that case, simply make it visible using the form field settings.
Once the field is enabled, you can restrict the validity of the given price list item. The field is located on the "E-shop and Intrastat" tab.
