How to Track Inventory in ABRA Flexi?

The values on this form are generated based on the price list item and cannot be edited.

Goods – Stock Cards

Stock cards are created for each stock item. They provide information about its current values – quantity, price, and movements. They are created based on checking the Stock item flag in the Goods – Price List menu; the Define location in warehouse tab must also be filled in on the price list item.

You can open the list in the "Goods" module under the "Stock cards" option.

The top toolbar of the table contains a number of buttons, the meaning of which is described in a separate chapter "Program controls". The New and Delete buttons are grayed out – this means that a new card cannot be created here, and an existing card cannot be deleted.

Below the top toolbar with buttons is a filter bar, which allows you to limit the selection of displayed items to only a specific warehouse or a specific goods group.

Stock Card

Clicking the Change button opens the stock card.

The top toolbar of the form contains a number of buttons, the meaning of which is described in a separate chapter "Program controls".

Price list

The value is transferred from the Goods – Price List menu from the "Code/abbreviation" field. It can also be changed on this form.

Warehouse

The value is transferred from the Goods – Price List menu – Additional information tab, from the "Define location in warehouse" field. If you have goods in multiple warehouses, multiple stock cards are created as well.

"Main" Tab

This tab contains basic values from the Goods – Price List menu; other values are updated based on the stock documents created.


The values shown on this tab are in the currency in which the accounting is kept.

Name

The value is transferred from the Name field in the Goods – Price List menu; if you need to edit this field, do so in the Goods – Price List menu.

Issue by expiration

We recommend checking this flag if you will be recording batches and expiration dates for goods on this card. The batch and expiration date are then automatically filled in on the "Posting/Additional information" tab of the outbound stock document when the item is saved, always using the batch with the shortest expiration period.

Note: If you are issuing a certain quantity of one item from stock, but with different batches and expiration dates, you need to enter multiple items – the program will not split it automatically based on expiration. In this case as well, the batch and expiration date can be selected manually.

Stock quantity in units

This is the current stock quantity of the stock item/product in units of measure and is calculated from the opening balance and stock documents.

Stock value [CZK]

This is the current stock value of the stock item/product in CZK and is calculated from the opening balance and stock documents.

Average price [CZK]

If you have selected the Average price method for inventory valuation in your company settings under the "Modules" -> "Goods" tab, then the price shown here is essentially the stock price. The value is recalculated after each receipt.

ℹ️ This field is always populated, even if you have the FIFO method set. However, with FIFO, the calculated average price is not used for the outbound document, because it is valued according to the specific linked receipt. The value in this field therefore says nothing about the price at which the item will be issued. This is described in more detail in the article on FIFO links.

Opening balance in units

The opening stock balance in units of measure as of January 1 of the specified accounting period; the value is populated after Initializing the next accounting period (module Accounting), when the accounting period is closed and the opening balances are set for the new year; if any additional movement was made in the previous year, this option must be run again in order to reset the opening balances.

Opening balance [CZK]

The opening stock balance in CZK as of January 1 of the specified accounting period; the value is populated after Initializing the next accounting period (module Accounting), when the accounting period is closed and the opening balances are set for the new year; if any additional movement was made in the old year, this option must be run again in order to reset the opening balances.

If you access the stock card after initializing the next accounting period and there is not yet any movement in the new accounting period, the values in the Stock quantity and Opening balance fields will be the same.

Min. stock in units

This value is used in outbound and inbound orders. If you create an outbound order from a received order using the "Services" button, the minimum stock ("min. stock") column will display the value set here on the stock card. The minimum stock value is also used when creating an outbound order, where using the "Services" -> "Order to minimum" button you can create an order to bring the minimum stock level in the warehouse up to the set level.

Max. stock in units

This field is currently used only as an optional informational note. It is not otherwise used elsewhere in the program at this time.

Reserved in units

An informational value containing the sum of all reservations of the given stock item in the warehouse.

Requests in units

A summary of the outstanding issue requests not yet fulfilled on this card, i.e., the quantity that has already been invoiced but not yet physically issued.

Available quantity

The quantity that can realistically be counted on for further issue. It is calculated as:

stock quantity in units − requests in units − reserved in units

Date of last movement

A recalculation is always performed for this date in all items marked with [currency]. This is the most recent date on which a stock document was issued on this card; a retroactively created document therefore does not reduce it.

Last price [CZK]

This shows the last purchase price in CZK.

💡 If you have the Update purchase price in price list upon receipt option enabled in your company settings, this price will also be written to the Purchase price field in the price list after each receipt, from where it then feeds into pricing.

"Currency, Location" Tab

  • The left part of the tab supplements the "Main" tab. If any warehouse is kept in a foreign currency, the values are shown here in that currency. Otherwise, the values here are identical to those on the previous tab. Conversion to the currency value is always performed using the exchange rate valid for the date in the Date of last movement field on the Main tab. The meaning of the fields is the same as on the Main tab.

  • The right part of the tab provides information about where the given goods are stored. It is used to select values from the location list:

Room, Rack, Shelf

This is how you specify where the given item is located.

"Note" Tab

Note

A field for any additional information.

"Description" Tab

A more detailed description of the stock card; this information is not printed. If you have set up foreign languages in the initial setup, you can fill in the Description field in these foreign languages by clicking the "+" button. Click the "-" button to close the description field for foreign languages.

"Receipt/Issue Items" Tab

Every movement made via stock documents is automatically saved to this tab.

The top toolbar of the table contains a number of buttons, the meaning of which is described in a separate chapter "Program controls". The Add and Delete buttons are grayed out – this means that a new receipt/issue cannot be created here, and an existing one cannot be deleted.

Each row in the table represents one item of the document.


If you want to view the item details in a clear format, use the Open button. This will display the document item card with all the data exactly as it was entered. You can view this data on the two tabs, "Main" and "Posting/Additional Information".


If you want to view the entire document, use the button. This will open the selected stock document, which you can view and some of whose values you can change. If you decide to cancel a document opened this way, the program will allow it. In the table view, the strikethrough for this canceled document will only be reflected after the stock card is reopened.

Why you don't see a certain movement in the list

If a movement you recorded is missing from the tab, it is usually for one of these three reasons:

  • Different accounting period. The tab only shows movements from the current accounting period. You will only see a movement from a different year after switching the period.

  • Canceled document. The strikethrough will only be reflected in the table view after closing and reopening the stock card, as described above.

  • Unfulfilled issue request. It has a zero in the Quantity column and an accounting value of CZK 0, so at first glance it looks like an empty row. You can identify it by a positive value in the Request in units column.

"Serial Numbers" Tab

If you have checked Record serial numbers in the price list, they are recorded on this tab.

The top toolbar of the table contains a number of buttons, the meaning of which is described in a separate chapter "Program controls". The Add, Change, and Delete buttons are grayed out – this means that serial numbers cannot be added, changed, or deleted here.

The content of this tab is identical to the "Serial Numbers" option in the "Goods" module, with the only difference being that this tab only shows the serial numbers of the given stock item card, and only those that are currently in stock. Each row of the table relates to one serial number.
