How to load multiple goods receipts/issues into a single invoice?

What is the procedure when I want to include multiple goods receipts or goods issues in a single invoice? We will walk through the process using a received invoice as an example, but the same approach can also be applied to issued invoices.

Desktop Application

We will demonstrate the procedure using a received invoice. Create the invoice by clicking the "New" button in the "Purchase - Received Invoices" module, fill in the required details (incoming number, variable symbol, due date, and supplier), and then use the dropdown list next to the "Add" button to select the "Bulk invoicing of receipts" option.

In the next step, simply select the receipts you want to invoice. Only receipts belonging to the supplier specified on the invoice will be available.

Upon confirmation, all selected receipts will be inserted into the invoice. Each receipt has a dedicated sequence range for its line items, making it easy to identify which items in the invoice originated from which receipt.

When the invoice is saved, the receipt (or all invoiced receipts) will be marked as bulk-invoiced.

All linked documents (in this case, receipts) can be found in the relations from the position of any of the involved documents.

The same procedure applies to issued invoices and bulk invoicing of goods issues.


Web Application

In the web interface, the procedure is essentially the same. You can either invoice a given receipt directly from its own view, creating a 1:1 invoice for that receipt, or you can invoice multiple receipts at once from the received invoice view.

Open the received invoices agenda. The easiest way to get there is by using the search. From there, create a new invoice.

Again, fill in the required details on the received invoice (incoming number, variable symbol, due date, and supplier).

In the line items section, click the "From receipt/issue" button.

A form will open allowing you to select receipts that were created for the same supplier as the one on the invoice and are eligible for invoicing (for example, they have not already been invoiced).

Select the receipts you want to invoice and confirm with "Save". All line items from the selected receipts will then be inserted into the invoice.

In the relations, accessible from any of the involved documents, you will find all the relevant documents.

The same procedure can be applied to issued invoices, i.e., for bulk invoicing of goods issues.
