How to create a warehouse and how it is used in the ABRA Flexi desktop application?

If you are maintaining warehouse inventory, you must register the form, i.e., have at least one warehouse recorded in it. Warehouses are then also offered on the Price List form in the Goods module, and if you record a stock item (material, goods) there, you must select it — see the Define Warehouse Location button. The list of warehouses is pre-filled with one item, "Standard Warehouse," and you can add other warehouses to it as needed. If you keep double-entry bookkeeping, you must have a warehouse account filled in.

⚠️ Note: It is advisable to fill in the warehouse register before you start recording price list items.

If you will be maintaining warehouse inventory, the list of warehouses must contain at least one item. If you add an item of type stock (material, goods) to the price list, you must define which warehouse this item is located in.

The list of warehouses is pre-filled with one item – the standard warehouse. We recommend checking the register and adjusting the settings if necessary. You can expand it according to your needs. It must be created before you create the price list.

You can open the list in the "Goods" module under the "List of Warehouses" option.

Main Panel

Press the button or the Alt+N keyboard shortcut to open the form for a new record.

Abbreviation

Required field, can contain up to 20 characters. The value must be unique among records.

It will be used in the selection dropdown when creating a price list. Choose it so that it expresses a property of the warehouse. That way, you won't have to think about what this abbreviation means.

Name

Required field, can contain up to 255 characters.

Generally represents the record in overviews, printed reports, or selection lists, so the record should describe it in a unique way.

If you set up foreign languages in the initial company settings, then after pressing the "+" button you can fill in the "Name" field in the selected foreign languages. These language variants of the name are printed on documents when printing in a foreign language. Press the "-" button to close the fields for the name in foreign languages.

Series for Receipt and Series for Issue

Series for Receipt - The internal document number under which it is recorded.

For clarity, the form is divided into several tabs:

  • the Accounting tab,

  • the Texts tab,

  • the Selection Keys tab,

  • the Administration tab.

"Accounting" Tab

You don't need to fill in the values on this tab. However, doing so will make document accounting easier.

Warehouse Account

Select manually or using the magnifying glass from the list of accounts (you'll get there via the Accounting – Chart of Accounts menu). It's necessary to fill this in for double-entry bookkeeping and when you keep multiple warehouses (single-entry bookkeeping does not have it). The account will be entered into warehouse documents in the Warehouse Account field. This simplifies the accounting of warehouse documents.

Cost Center

It's necessary to select it, since no document will be posted without it; it provides information about how much was spent in costs/revenue, etc.; e.g., headquarters, branches.

Select manually or from the dropdown list from the list of cost centers. The cost center will be entered into warehouse documents in the "Cost Center" field. This simplifies the accounting of warehouse documents.

Document Currency

Select manually or from the dropdown list from the list of currencies. If you keep the warehouse in a foreign currency, the price in this currency will also be displayed on the stock card.

Currency is thus a property of a specific warehouse, not of a document type. It determines the currency in which values will be kept on the stock cards and warehouse documents of this warehouse. If you leave the field blank, the warehouse will be kept in the domestic currency.

⚠️ If you enter warehouse documents in a currency other than the one in which the warehouse is kept, the values on the stock card will stop matching each other. Details and typical errors are described in the article Warehouse in a Foreign Currency and Warehouse in the Domestic Currency.

💡 Recommendation! If you have multiple warehouses, keep the same items filled in for each warehouse, so you don't have to remember that, for example, one warehouse has the account set while another requires manual entry.

"Texts" Tab

The "Texts" tab is present in all registers and all lists. It consists of two fields where you can fill in information according to your own needs. Filling them in is not mandatory.

"Selection Keys" Tab

Tags can be attached to a specific warehouse. Using warehouses marked in this way, you can easily search for the ones you need.

Using the Attach button, a table for selecting tags will be displayed. From the left-hand Available Tags table, use the arrow to move the tags you want to assign to the given contract into the right-hand Selected Tags table, and confirm the selection with the OK button.

If you need to add a tag that you don't yet have in the left-hand Available Tags table, use the Manage Tags button. This opens the tag register (menu Tools – Registers – Tags), where you can add the required tag.

"Administration" Tab

The Administration tab contains information about the validity and also the visibility of the given record in the register in accounting periods. The validity of a record is given by a range of accounting periods. Within the specified range of accounting periods, the record is valid; in other periods, the record is not valid and will not be displayed in the register (list) at all.

By limiting validity, you ensure that records that are no longer used will not be shown during routine use of the register. Unlike the time validity of records, it is not possible to select a range of accounting periods that would not correspond, even partially, to the active accounting period.

Since the validity of a record is tied to accounting periods, it can also be used with fiscal accounting periods.

Valid From, Valid To

Valid From - Select the period when the record's validity begins using the dropdown list of accounting periods.

Valid To - Select the period when the record's validity ends using the dropdown list of accounting periods.

If you want unlimited validity for the record, leave the Valid From and Valid To fields blank (you can remove an already selected value by pressing the Del key). The record will then be usable in all accounting periods. It is possible to leave one of the fields without a selected value, thus not limiting the beginning or the end of the record's validity.

If you select the same accounting period in both the Valid From and Valid To fields, the record will only be usable in that accounting period (see the accounting period in the header of the side navigation).

Automatically Add New Goods to This Warehouse

In a newly created company or for a newly created warehouse, this field is checked automatically. This means that when you enter new items into the price list, once you select the stock type "Stock Goods," the warehouses marked in this way will immediately be defined on the "Details" tab in the Define Warehouse Location field.

ℹ️ Although this field is located on the Administration tab, it has a fundamental impact on everyday work. It is precisely this field that determines whether a stock card is automatically created for each new stock item in the price list, or whether it will need to be added manually for each item individually.

FAQ

Can ABRA Flexi work with consignment warehouses?

By default, no — the application does not have separate functionality for them. However, it depends on which situation is involved. A warehouse that you have at your customer's premises is kept in Flexi using standard means, because the goods are still your property. A supplier's warehouse located at your premises runs into the issue that its value is included in the accounting. Both cases are discussed in detail in the article Consignment Warehouses. How many warehouses can I create?

The number of warehouses is not limited. However, create them thoughtfully, since each warehouse creates its own stock cards for price list items and has its own warehouse account and currency.

Which accounting method can be used to keep warehouse records?

Warehouse records can be kept using Method A or Method B.
